DUTIES/RESPONSIBILITIES

May include the following:

  • Provides administrative support to the Community Services Director as assigned in a timely and courteous manner.
  • Handles all incoming phone calls in a timely, efficient and courteous manner.
  • Greets clients, staff, volunteers and visitors in a pleasant, effective manner.
  • Performs tasks related to office procedures including filing, faxing, making copies, and word processing required.
  • Provides administrative support to staff associated with the Community Services Programs.
  • Assists in maintaining files of necessary forms and general information.
  • Assists with scheduling appointments and maintenance of appointment calendar.
  • Assists with processing Energy Assistance applications, including reviewing for completeness; and entering data into the client tracking software.
  • Assists with all required records, logs, and daily and monthly reports pertaining to the CSBG and Energy Assistance Programs as directed.
  • Gathers information for monthly reporting of the CSBG Monthly Funding/Financial/Performance Report.
  • Participates in workshops, in service trainings and makes use of all personal and professional growth opportunities.
  • Generates Excel spreadsheets as needed to maintain data.
  • Performs additional tasks or duties as assigned by the Community Services Director.

  • Submits mileage accurately and on time to supervisor.
  • Attends all staff and other meetings as assigned.

  • All other duties as assigned.

REQUIREMENT/QUALIFICATIONS

Preferred:
  • Knowledge of the principles of office management
  • 2 or more years’ experience with Microsoft Office Suite, including a working knowledge of creating and editing Excel workbooks.
Required:
  • High School diploma or equivalent GED.
  • 2 or more years’ experience as a secretary, receptionist, data entry clerk or general office.
Physical Requirements:
  • Lift 25-30 lbs.
Other Requirements:
  • Valid Texas Driver's License - Class C.
  • Vehicle insurance (personal injury and liability).
