Job Title: Front Office Assistant
General Summary of Duties: Performs various administrative duties for office manager, clinical services manager, physicians and staff including answering telephones, taking messages, scheduling appointments, check in and out patients, etc. Responsible for data entry, verifying insurance eligibility, faxes and patient account follow up, as well as daily and weekly reports.
Reports to: Practice Clinical Manager
Supervisory Responsibilities: None
Primary Responsibilities/Tasks:
- Serves as initial patient contact, initiates patient record and account. Greets patients and families in a welcoming and caring manner, courteously assists callers with information and directions
- Answer and screens telephone calls in a courteous manner, and record messages for physician and other personnel.
- Schedule patient appointments and procedures according to organizational policies and procedures.
- Obtain accurate information from patients and ensure all registration forms are complete, patient portal and technology.
- Responsible for basic insurance verification processes. Subscriber, ID#, Group #, Adjuster (if applicable) and eligibility status.
- Collect patient and insurance payments and reconcile charges daily.
- Prepare insurance forms and associated correspondence (if applicable).
- Verify account balances. Provide information to patients regarding unpaid balances.
- Prepare daily schedule in advance for next business day to improve workflow efficiency.
- Transcribe letters and create forms as needed, i.e (Letter of Protection (LOP), etc.
- Copy patient information and forward to requesting party after receiving appropriate consent to release medical records.
- Maintain files and records in a confidential manner.
- Maintain organization and efficiency of front office, including office supply inventory and cleaning/sanitizing waiting room.
- Maintain patient confidentiality.
- Perform other related duties as directed or assigned.
EDUCATION: High school diploma or GED.
PREFERRED EXPERIENCE: Minimum of one year of administrative assistant experience in a medical office, hospital, patient access, customer service, etc.
Performance Requirements:

- Knowledge of clinic policies and procedures.
- Knowledge of medical terminology and insurance practices.
- Knowledge of computer programs and applications.
- Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
- Knowledge of CPT and ICD-9 coding.

- Skill in handling paperwork/filing adequately.
- Skill in handling incoming phone calls and triaging appropriately.
- Skill in written and verbal communication.
- Skill in gathering, interpreting, and reporting insurance information.

Abilities:
- Ability to type 60 words per minute using word-processing software. Able to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.
- Ability to work effectively as a team member with physicians and other staff.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to interpret and understand insurance benefits and reimbursement.
- Ability to flexibly respond to changing demands.
- Ability to organize and prioritize tasks effectively.

- Ability to work with little supervision.
- Ability to establish and maintain effective working relationships with patients, employees, and the public.
Equipment Operated: Office machinery including computers, fax, dictating machine, calculator, and photocopier. Occasionally lift and carry files up to 20 pounds.
Work Environment: Work performed in office environment. Involves frequent contact with staff and patients. May require working under stressful conditions.
Mental/Physical Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
