Job Description:
OVERALL OBJECTIVE OF JOB:
Ensure efficient Agency operations by providing administrative assistance and support to various programs. Maintains knowledge in multiple programs within Aging and Community Services to be able to provide appropriate technical assistance.
ESSENTIAL FUNCTIONS OF JOB:
Receive assessment requests, reviews for accuracy and contact requester to receive missing information, determine and assign to appropriate assessor.
Provide customer service and information as first point of contact for the Agency when acting as primary backup to the receptionist.
Track incoming calls into SAMS system and direct to appropriate staff.
Oversee and process incoming and outgoing departmental communications to include mail, faxes and email.
- Provide administrative support to all departments within the agency.
- Procures providers for consumers new to service to fulfill service orders developed by Care Managers.
- Processes and maintains electronic files and data into SAMS and Laser fiche.
- Review FED determination and associated paperwork for completeness and accuracy and identifies discrepancies for incomplete information prior to dissemination.
- Complete Desk Reviews for assessment process.
- Assist Director with Advisory Board scheduling and planning. Takes and distributes minutes.
- Implementation of Spelling Bee and Senior Games to include planning and point of contact.
- Receives Farmer’s Market applications, determines eligibility and distributes the vouchers.
- Manages social media and website for the agency.
- Backup to enter invoices into Lawson and complete purchase requisitions.
- Support Homeless Assistance Program as needed
OTHER DUTIES OF JOB:
Receive certification for the PA Individualized Assessments database.
Manage staff appointment for PA Medi as needed.
Uses computer and other office equipment.
Receive Protective Services training.
Performs other job-related functions as required.
QUALIFICATIONS:
EDUCATION/TRAINING:
High School Diploma
WORK EXPERIENCE:
Minimum two years business/clerical/computer training experience
