The Data Specialist is an integral part of the operations team and is primarily responsible for putting together mailing projects from the collection of large client files through the completion of mail merges and creating printable projects files for the production team.
Duties/Responsibilities:
- Accurate and timely completion of mailing presorts, file downloads, file creation, labeling, and printing.
- Set up, quality check and produce variable data print jobs.
- Maintain a complete and up-to-date understanding of all postal regulations and procedures.
- Operate and troubleshoot multiple printers and print jobs.
- Assist with handwork functions and sorting duties on the production floor.
- Assist in all aspects of the project lifecycle from quoting to invoicing.
- Create job documents.
- Prepare lists for a variety of mailings based on USPS guidelines and requirements.
- Calculate postage and create postage statements for production projects.
- Verify postage usage of production jobs.
- Assist with various data entry projects as needed
- Attendance at business and department meetings (Stand Up, L10, 1 on 1, huddle trainings, etc.).
- Conduct additional work assignments corresponding with department needs at the direction of management.
- Participate in training and educational opportunities.
Qualifications
- Experience with database/Excel mail merges
- Experience with Microsoft Office and Adobe
- Experience with Windows operating systems and other Windows-based software
- Strong phone, verbal communication, and active listening skills
- Keen attention to detail and ability to multi-task, set priorities, and manage time effectively
- Willing and able to learn new technologies, hardware, software, and job procedures on an ongoing basis.
Skills/Abilities:
- Ability to effectively communicate
- Effective active listening skills
- Highly proficient ability to use Microsoft Office Suite and manipulate data in spreadsheets and databases
- Ability to document clearly and professionally
- Problem solving and time management skills to manage multiple projects and meet deadlines.
- Bilingual in Spanish (speaking, reading, and writing) a plus, but not required
Education and Experience:
- Associate's/Bachelor's degree in Management Information Systems or related field with two (2) years of work experience directly related to the duties and responsibilities specified is required; or equivalent combination of education, training, and experience.
