DataBank is pleased to announce that we are currently recruiting for a Document Indexer to join our Production team. The Document Indexer will be responsible for organizing and categorizing documents to ensure they are easy to retrieve, search, and manage. This role involves processing both physical and digital documents and ensuring they are indexed correctly, accurately, and consistently.
Responsibilities:
Essential Functions/Job Duties:
  • Review and analyze documents to understand their content and structure.
  • Assign appropriate keywords, tags, and metadata to each document for easy retrieval.
  • Organize and maintain digital and physical document archives using indexing software and manual methods.
  • Ensure accurate document categorization and adherence to company standards and guidelines.
  • Perform data entry tasks, entering document details into indexing systems.
  • Collaborate with team members to update and optimize document management systems.
  • Identify and resolve any discrepancies in document indexing.
  • Work with digital scanning and imaging systems to convert physical documents into digital format when necessary.
  • Ensure that all documents are indexed according to legal and compliance requirements.
  • Assist with the retrieval of documents when requested by various departments or clients.
  • Maintain a high level of confidentiality and security when handling sensitive documents.
Qualifications:
Required Skills and Qualifications:
  • High school diploma or equivalent; college degree is a plus.
  • Prior experience in document management or indexing is preferred.
  • Strong attention to detail and organizational skills.
  • Ability to work with various indexing software and tools.
  • Familiarity with document management systems.
  • Good communication skills, both written and verbal.
  • Ability to work independently and manage time effectively.
  • Knowledge of data protection and privacy regulations is a plus.
