The ideal candidate will be responsible for managing daily office operations, providing administrative support, and ensuring a smooth workflow within the office environment. This role requires strong communication skills, proficiency in office management, and the ability to handle various administrative tasks efficiently.
Duties
- Manage and oversee administrative operations across multiple departments to ensure seamless day-to-day functions.
- Manage calendars, schedule appointments, and coordinate meetings for staff
- Handle phone etiquette professionally, addressing inquiries and directing calls as needed
- Support other administrative staff, ensuring deadlines and quality standards are met.
- Interpret, review, and manage legal forms, contracts, and compliance documents to ensure accuracy and adherence to regulations.
- Oversee onboarding processes for W-2 and 1099 employees, including ensuring all paperwork is completed, accurate, and compliant.
- Foster strong collaboration and communication across teams to ensure alignment and smooth workflows.
- Proactively identify inefficiencies and implement innovative solutions to improve operations and productivity.
- Prepare reports and documentation as required by management
- Collaborate with team members to improve office processes and enhance productivity
Requirements
- Proven experience as an Office Clerk or in an Administrative role
- Strong understanding of legal terminology and the ability to review and interpret legal forms and documents accurately.
- Strong organizational skills with attention to detail
- Excellent phone etiquette and interpersonal communication skills
- Experience with onboarding processes for W-2 and 1099 employees, including familiarity with tax forms and compliance requirements.
- Background in Billing is a huge plus
- Proficiency in calendar management and scheduling software
- Familiarity with payroll processes is preferred but not mandatory
- Ability to manage multiple tasks efficiently while meeting deadlines
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or similar software
