We are looking for an Office Administrator to join our dynamic team! The ideal candidate will be responsible for managing daily office operations, providing administrative support, and ensuring a smooth workflow within the office environment. This role requires strong communication skills, proficiency in office management, and the ability to handle various administrative tasks efficiently.

Duties

  • Manage and oversee administrative operations across multiple departments to ensure seamless day-to-day functions.
  • Manage calendars, schedule appointments, and coordinate meetings for staff
  • Handle phone etiquette professionally, addressing inquiries and directing calls as needed
  • Support other administrative staff, ensuring deadlines and quality standards are met.
  • Interpret, review, and manage legal forms, contracts, and compliance documents to ensure accuracy and adherence to regulations.
  • Oversee onboarding processes for W-2 and 1099 employees, including ensuring all paperwork is completed, accurate, and compliant.
  • Foster strong collaboration and communication across teams to ensure alignment and smooth workflows.
  • Proactively identify inefficiencies and implement innovative solutions to improve operations and productivity.
  • Prepare reports and documentation as required by management
  • Collaborate with team members to improve office processes and enhance productivity

Requirements

  • Proven experience as an Office Clerk or in an Administrative role
  • Strong understanding of legal terminology and the ability to review and interpret legal forms and documents accurately.
  • Strong organizational skills with attention to detail
  • Excellent phone etiquette and interpersonal communication skills
  • Experience with onboarding processes for W-2 and 1099 employees, including familiarity with tax forms and compliance requirements.
  • Background in Billing is a huge plus
  • Proficiency in calendar management and scheduling software
  • Familiarity with payroll processes is preferred but not mandatory
  • Ability to manage multiple tasks efficiently while meeting deadlines
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or similar software
