Design Science is looking for an Administrative Coordinator/Strategic Partnership Associate (SPA) to join our team in our Evanston location. This dual role is the first point of contact for the office, provides onsite administrative support and recruits participants for studies as a part of the SPA team.

Job Responsibilities:
The Strategic Partnership Associate (SPA) is responsible for recruiting participants for testing medical devices before they go to market. Collaborating with the research team, our SPA team uses a variety of recruitment stragegies to identify and secure participants for studies in Evanston, Philadelphia and off-site locations around the U.S. Some of the day to day functions of the SPA include:
- Post flyers and ads to initiate and maintain relationships with physicians, nurses, patients, caregivers and hospital systems while building the participant database.
- Screen and source qualified participants using study criteria.
- Coordinate the recruitment process from screening through study execution
- Build and maintain relationships with participants while building the Design Science brand
- Manage all stages of the recruitment process. Work with study teams to understand the participant needs of the organization.
- Seek out and develop partnerships with associations and groups i.e., American Diabetes Association, Head and Neck Cancer Association etc. Create exciting and useful recruiting tactics to attract study participants.
- Draft and create screeners to phone screen potential participants.
- Collaborate with engineers and program managers to understand team needs and facilitate participant recruitment processes
- Manage front desk as first point of contact for the office
- Scan documents as needed
- Handle parking validations
- Lunch tracker management for studies
- Set up/break down client breakfast, lead meetings, etc
- Assist with shipping and receiving packages and client materials
- Order (supplies & hospitality)
- Sign in/out participants on study execution days.
- Create E-Consent forms for study participants
- Maintain scheduling grids and update Salesforce with participant data.
- Create study schedules, communication emails to participants and screening documents.
- Regularly build out and upload new participants list for current and future studies
- Manage and attend recruiting events e.g., 5 K Diabetes Walk and other outside events to build partnerships with current and future participants
- High School Diploma required
- Bachelor's degree is beneficial
- 1-2 years minimum of direct recruiting experience managing all phases of the process. Related experience considered in lieu of recruiting background
- 1 year minimum of administrative support experience
- The finalist will be required to successfully complete a background check
- The ideal candidate will have strong social and leadership skills
- Demonstrated organizational skills and the ability to prioritize tasks
- Strong customer service skills as first point of contact for the office, participants, clients and guests
- Ability to develop strategies for identifying and securing participants for studies based on specific criteria
- Familiarity with developing recruitment marketing strategies that effectively attract participants that could include patients, caregivers, nurses, or physicians.
- Ability to build partnerships with organizations related to study groups and forge relationships with participants to drive success in this role.
- Ability to learn new software as needed for tracking and recruiting participants
- Ability to be in the office 5 days a week to manage the front desk
- Flexible schedule to accommodate shifted project hours
