JOB SUMMARY:
The Administrative Assistant's duties and responsibilities include providing administrative support to ensure the efficient operation of the office. The assistant supports managers and employees through a variety of tasks related to organization and communication.
ESSENTIAL JOB FUNCTIONS:
- Organizes and schedules office activities, including meetings, travels, and conferences, as well as department activities for members of the department.
- Creates and develops visual and digital presentations for upper management and performs desktop publishing.
- Establishes, maintains, and updates the filing system for the department and upper management.
- Retrieves needed information from files.
- Organizes, arranges and prioritizes information and calls.
- Sorts and distributes mail. Responds to regularly requested information.
- Answer and direct all phone calls to the department/worksite.
- Organize and schedule meetings and appointments
- Maintain contact lists
- Produce and distribute correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Submit and reconcile expense reports
- Provide general support to visitors
- Provide information by answering questions and requests
- Generate reports
- Handle multiple projects
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Must perform other duties as assigned.
SUPERVISION RECEIVED AND EXERCISED:
- Receives supervision from the Operations Manager. The position has no formal assigned supervisory responsibility or authority. Must complete jobs without constant supervision.
WORKING CONDITIONS:
- The principal duties of this position are performed in an office environment. Works standing and sitting for prolonged periods of time while working on a daily basis. Sits, stoops, crawls, climbs, lifts, bends, kneels, pulls, and pushes while performing job duties. Ability to lift equipment weighing up to 30 pounds.
ALCOHOL AND DRUG TESTING POLICY:
This position is subject to the DLP Services LLC, Drug-Free Workplace Policy which includes: Post-Accident Testing, Random Testing, and/or Reasonable Suspicion Testing.
MINIMUM QUALIFICATIONS:
Education and Experience:
- High school diploma or equivalent; some college degree preferred
Knowledge, Skills, and Abilities:
- Effective interpersonal/communication skills.
- Ability to understand written and verbal communications.
- Knowledge of appropriate software including Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat.
- Ability to retain confidential information.
- Ability to read, understand, follow, and enforce safety procedures.
- Excellent time management skills and the ability to prioritize work.
- Able to operate electronic devices for clocking in/out procedures.
Other:
Valid Drivers’ License Class C.
