Job Summary: The role is responsible for coordinating and dispatching logistics for our We are welcoming applicants with experience in executive, limousine, livery, and/or event passenger transportation or similar service backgrounds. Ideal candidates have experience managing data, are attentive to detail with thorough communication, and provide exemplary service to internal and external clients. In a 24-7-365 business, the environment is fluid and exciting. We provide extensive training to include classroom and field training to support a broad knowledge base.
Responsibilities:
- Schedule and assign individual and group transportation reservations.
- Monitor trips in progress as well as upcoming trips for same day.
- Assign chauffeurs of various experience levels to best match client requests.
- Properly pair client vehicle requests to existing fleet availability.
- Adjust chauffeur and vehicle assignments pending external changes, flight delays, etc.
- Communicate client expectations and changes thoroughly to chauffeurs.
- Review all reservation details with chauffeurs, monitor timeliness and progress.
- Assist managing service expectation deviations between clients and chauffeurs.
- Secure external chauffeur and vehicle needs as necessary using existing company relationships.
- Provide administrative support including phone coverage and data entry.
Job Qualifications:
- Passion for attention to detail.
- Exemplary verbal and written communication skills.
- Working experience in MS Office products, primarily Excel, Word, Outlook.
- Ability to quickly learn industry and company specific software and procedures.
- Flexibility in working hours for 1st and/or 2nd shift, weekends and holidays.
- Work closely with a small team with similar responsibilities.
- Limousine, livery, and/or similar transportation industry experience highly desired.
Experience and Education
- HS diploma or equivalent required
- AS in logistics or related area preferred
- Minimum of 1 year experience in a related industry role coordinating or dispatching in a complex environment
Knowledge of:
- Scheduling tools
- Experienced level MS Office and related communication tool, e.g. Word, Calendar, meeting tools
Skills in:
- Excellent written & oral communication skills
- Ability to understand complex, interdependent schedules and processes
- Excellent ability to work with all levels of employees and team mates
Physical Working Conditions:
Position would spend time in an office setting and movement through repair facilities, in the field and in vehicles. Office work may require prolonged sitting, standing, walking, kneeling, squatting and stooping in the performance of daily activities. Field work would require the ability to work outside in various weather conditions and actively in a provided vehicle. Work in repair facilities or depots may require walking on uneven surfaces, entering and debarking from vehicles, and changes in temperature and noise levels. The position may also require the ability to lift, drag and push files, paper and documents weighing up to 35 pounds.
Special Requirements: (1) Must be willing and able to travel to and attend training and meetings within or outside the boundaries of the home area; (2) Must be willing and able to work outside regular business hours and on weekends, attending meetings, etc. as needed.
