Job Title: HSS Receptionist
General Definition:
Whether in person or by phone the HSS Receptionist serves as the first impression of the department. The highest level of professionalism, customer service and confidentiality are expected. The primary duty of this position is excellence in service to Eastern Shawnee Tribal members.
Supervision Received: HSS/VS Director
None
Essential Job Functions:
· Welcomes on-site visitors in a professional manner; determines nature of business and announces visitors to appropriate personnel.
· Answers incoming calls, professionally and forwards to appropriate personnel or departments.
· Retrieves messages accurately and forwards messages appropriately and in a timely manner.
· Monitors visitor access. Fields calls and visitors
· Answers questions about the organization and services providing visitors and callers with clear directions and other information.
· Receives, sorts, processes and distributes incoming mail and claims working to provide effective and timely service to our members.
· Ensures all files are organized and documents filled correctly and in a timely manner.
· Assists with other departmental duties and work overflow as instructed by the Director.
· Represent the Tribe in a professional manner at all times, when working with Tribal members, and in dealing with outside entities and in situations with fellow employees.
Education:
· High School Diploma or GED
· 1 year of front desk or related office experience and/or training preferred.
Knowledge, Skills, and Abilities:· Excellent verbal and written communication· Organizational skills· Detail oriented· Multi-Tasking and time management skills· Office management skills, including but not limited to typing, data entry, record keeping and filing· Knowledge of Microsoft Office (Word, Excel, PowerPoint)· Excellent customer service· Respect for all Tribal Members, Tribal Officials, Supervisors, and Co-Workers· Excellent problem solving and conflict resolution
Licenses/Certifications/Other:
· Must be able to pass an adjudicated background check as a condition of employment
· Must be able to complete pre-employment drug test with a negative result
· Current valid driver’s license
· Positive verifiable references and work history
Job Type: Full-time
Pay: $42,322.00 - $45,859.00 per year
