Job Overview:
The Assistant Program Coordinator supports the Program Coordinator in managing the daily operations of the recovery residence. This role involves assisting with program administration, resident support, and staff coordination. The Assistant Program Coordinator ensures that residents and staff have the necessary resources to maintain a smooth operation, providing logistical and administrative support to help facilitate the recovery programs. This position is ideal for someone organized, detail-oriented, and passionate about supporting individuals in recovery. The coordinator needs to have significant flexibility in their schedule and may be required to work weekends and various shifts.
Key Responsibilities:
- Assist the Program Coordinator in overseeing the daily operations of the recovery program, ensuring that all activities run smoothly.
- Help coordinate resident schedules and activities, including group therapy, workshops, and other recovery-based services.
- Maintain regular communication with residents, staff, and external partners to address any logistical issues or concerns.
- Support the intake and orientation process for new residents by helping them understand the program structure, rules, and expectations.
- Assist in monitoring resident progress and provide support as needed, escalating concerns to the Program Coordinator or clinical staff when necessary.
- Help organize and facilitate resident meetings, group sessions, and recreational activities.
- Handle administrative tasks such as scheduling, record-keeping, and data entry for resident files and program documentation.
- Assist with the preparation of reports on program metrics, resident progress, and outcomes.
- Track and manage program supplies, ensuring that necessary materials are available for daily activities.
- Help coordinate staff schedules and ensure adequate coverage for all program activities.
- Provide support to program staff in carrying out their daily duties.
- Assist with staff training, meetings, and performance reviews as requested by the Program Coordinator.
- Assist in maintaining accurate and confidential records of resident participation, progress, and incidents.
- Report any safety concerns, compliance issues, or resident challenges to the Program Coordinator or appropriate supervisory staff.
- Help organize and plan special events, workshops, or outings for residents that support their recovery journey.
- Coordinate logistical aspects of these events, including transportation, scheduling, and supplies.
- Assist with managing resident or program crises by providing support, de-escalating situations, and reporting issues to the appropriate staff.
- Participate in crisis intervention training and assist in handling emergencies as they arise.
Education:
- Associate’s or Bachelor’s degree in social work, psychology, counseling, or a related field is preferred.
- High School Diploma or Equivalency is required.
- Certification in addiction recovery or counseling (e.g., CADC) is a plus, but not required.
- Adult Peer Support Specialist certified or eligible for the certification.
- 1 year experience working with addiction is required.
Experience:
- Minimum of 1-3 years of experience in an administrative or support role within a recovery residence, treatment center, or healthcare setting.
- Experience working with individuals in recovery or with substance use disorders is preferred.
Skills:
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and priorities efficiently.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with client management software.
- Problem-solving skills and the ability to work well under pressure.
- Believes in leading by example and servant leadership so that others who report to them want to follow with enthusiasm.
- Excellent communication skills that foster teamwork and high morale.
Other Requirements:
- Valid driver's license with a clean driving record for the past 2-5 years.
- Ability to pass a background check and drug screening.
- Flexibility to work evenings or weekends as needed.
