Job Overview
We are seeking a dedicated and organized Office Administrative Managerto join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by managing various administrative tasks and supporting team management. The Admin Manager will assist our VP of Business Management in all aspects of finance and administration. The ideal candidate will have leadership experience and take initiative immediately. This person must also be willing to learn, grow, and contribute to building a positive and collaborative culture.
This position will report directly to the VP of Business Management.
Experience with Microsoft Office, Teams, Planner, and Quickbooks is required. You must be willing to work full-time in the office Monday through Friday and be able to do some light travel from time to time.
Responsibilities (not limited to):
- Positive working relationships and correspondence with Project Managers, Clients/owners, subcontractors, vendors, and staff.
- Review and keep up to date with QuickBooks reporting for upper management
- Knowledge and understanding of all City and State Requirements and ensure that the company is following them.
- Keeps all WBE certifications up to date (3 total, documentation and renewal)
- Annual Reporting.
- Quarterly Reporting
- Monthly Reporting
- Manage the workers’ compensation in Ohio
- Manage the WV Contractor Licensing.
- Yearly Workers Comp Reporting.
- Work with the Technology team to negotiate phones, internet, and other office technologies.
- Cross-train administrative team
- Serve as a backup to all administrative staff.
- Familiarity with the parking technology industry language and familiarity with design processes in mechanical, electrical, structural, and technology disciplines.
Requirements/Skills:
· High School Diploma and Bachelor’s degree (preferred), MBA (preferred but not required)
· 5 years of QuickBooks experience
· At least 5 years of experience in Customer Service or Customer Relations.
· High proficiency, knowledge, and understanding of Microsoft Office (including Teams and Planner).
· Construction Industry experience (preferred)
· High-level attention to detail, think outside of the box, innovative and excellent communication
· SalesForce (preferred not required)
· A valid driver's license and dependable transportation.
· Willingness and aptitude for learning from our current staff, personal initiative, and vendors' training resources.
· Strong professional written and verbal communication skills are a must.
· Effective multitasking and strong organizational skills.
· Attentiveness and patience
· Be able to effectively and efficiently manage time
· Demonstrate leadership and initiative
Requirements
- Proven experience as an Office Administrator or in a similar clerical role.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficient in calendar management and scheduling software.
- Familiarity with phone systems and office equipment.
- Excellent communication skills, both verbal and written.
- Experience in construction office management is a plus but not required.
- Ability to work independently as well as part of a team in a fast-paced environment.
Work Environment:
· Office-based work and field visits as needed.
· May require occasional travel for training, team support, or customer engagement.
