Overview
Experience Fresh is seeking an Executive Assistant to join our agency team and support our CEO. This role primarily focuses on supporting the CEO across business development, project management, priority setting, office management, and administrative duties. This position is ideal for a proactive individual who excels in a dynamic, collaborative environment and can seamlessly balance high-level business support with day-to-day operational tasks.
Responsibilities:
Business Development Support
- Collaborate with the CEO to develop compelling LinkedIn content for his account, demonstrating strong writing and editing skills while quickly adapting to and implementing the CEO's voice and style
- Manage the CEO's LinkedIn inbox, triaging messages and identifying potential business opportunities
- Maintain and organize a database of business development leads, ensuring timely follow-ups and communication
- Assist in the creation of pitch decks and supporting materials by coordinating with team members to gather relevant data and creative assets
- Implement a system to track critical action items and deadlines for the CEO related to business development initiatives
Task-Oriented Support
- Manage the CEO’s calendar, resolve scheduling conflicts
- Plan and coordinate travel arrangements and manage all logistics (airfare, hotel, transportation)
- Manage and prepare CEO’s expense reports, track status, and settle issues
- Serve as the agency Advisory Board liaison, facilitating clear and consistent communication to board members, drafting meeting agendas, and providing support
- Client experience support (future and active)
- Personal Assistant support as needed
Qualifications:
- Outstanding administrative and organization skills; detail oriented; able to prioritize and multitask; strong ownership evident through responsibility and accountability for end product; highly proactive mindset
- Excellent judgment and resourcefulness
- Strong technical skills, including proficiency in Google Workspace
- Excellent interpersonal skills; has a positive attitude; ability to build relationships within the agency and with clients and external stakeholders
- Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks; ability to work independently
- Able to work efficiently and effectively in a fast-paced, deadline-driven environment
- Attention to detail and confidentiality
Hours: 40 hours per week, hybrid role with some in-office work; available for phone calls and meetings outside of normal business hours
