EMPLOYMENT STATUS: 30 DAYS TEMP TO PERM (5 Days A WEEK IN OFFICE)

SALARY RANGE: $62,400 - $65,000 NONEXEMPT - SALARIED (DEPENDING ON EXPERIENCE)
Founded in 2013, Fohr is an influencer marketing platform. We’ve built a self-serve platform that allows you to run the best influencer marketing campaigns imaginable. We run and manage campaigns from $25,000 to a million dollars, from one influencer to 4,000.
We are currently seeking a temp to perm Office Assistant to join our dynamic team! This opportunity has a key role in supporting our Employees, Administration and the Executive Assistant. This role has the potential of becoming perm after a 30 day temp trial.
POSITION SUMMARY
The Office Assistant, will be a five day in person role in which the majority of your focus will be about 90% focused on the office administration, maintenance and upkeep with the possibility of 10% being focused on ad hoc projects. This can fluctuate based on business needs. You will perform diverse office duties requiring a high level of confidentiality, proactiveness, ownership, attention to detail, thoroughness and initiative to lead on your own after being fully trained. This role will report to the Operations Department.
You will rely on excellent organizational and people skills and must have the ability to effectively handle multiple priorities, and pivot to manage time sensitive matters when required. You will need to implement procedures, adapt to processes and techniques to complete assignments. You will be working cross departmentally, front facing employees, vendors and clients. Hospitality is a must.
You will be the point person for anything office related internally and externally, this may include having to occasionally respond to messages after work hours that are time sensitive.
PRIMARY RESPONSIBILITIES
- Coordinate team wide calendars, events, office wide announcements (eg. holiday party, birthdays, office closures etc.)
- Coordinate employee life events, celebrations and achievements.
- Coordinate internal anniversary gifting - varsity jacket, pins, Rimowa coordination and production.
- Handle employees special needs and requests for anything office related.
- Manage office budget and prioritizing spending.
- Stock and organize supplies (office supplies, toiletries, refreshments, etc).
- Update and maintain a series of ongoing spreadsheets.
- Manage admin inbox and company wide subscriptions.
- Implement systems to streamline office operations and protocols.
- Manage all aspects of office space - decoration, organization, etc.
- Manage the office's ADT security system and security cameras.
- Manage infrastructure upkeep, repair and improvement:
- HVAC, plumbing, electrical, garbage disposal, appliances, etc.
- Coordinate with external vendors and building management all within a timely matter.
- Update visuals around the office as needed.
- Partner with third party contractors for any work to be done in the office.
- Coordinate weekly, monthly, quarterly and annual maintenance visits.
- Maintain close contact with building superintendent and management.
- Work with cleaners/day porters on daily routine and maintenance.
- Coordinate, organize and execute all Fohr events, both in office and off site in collaboration with Executive Assistant and/or Project Manager.
- Eg. team celebrations events, off site workshops, client lunches, internal meetings (this may require you to work late nights).
- Welcome, greet, direct visitors and deliveries.
- Controlling correspondence and packages.
- Assist with client and holiday gifting - create fedex labels, boxing, shipping, handling, etc.
- Assist design team with execution of merch projects by finding suppliers, get quotes, meet deadlines, follow up with production, distribution, etc.
- Assist Executive Assistant with any CEO needs and errands when need be.
- Manage company wide meetings in a biweekly cadence:
- Confirming presentations and speakers
- Managing tech for presentation
- Organizing meeting space
EXPERIENCE, KNOWLEDGE, SKILLS, & PERSONAL ATTRIBUTES
- At least 2 years of prior experience in hospitality (concierge, front of house, customer support or similar).
- Great with multitasking and pivoting.
- Proactive and self motivated.
- Detail oriented and has a creative flare.
- Experience with managing a budget.
- Some experience with event coordination and execution.
- Excellent interpersonal skills and approachable.
- Solid oral and written communication skills.
- Quick to respond and act on priorities.
- Have the ability to stay on top of tasks until completed (follow up and follow through).
- Tech Savvy (able to operate standard projector, sound system, etc).
- Excellent phone and email etiquette.
- Extremely well organized, methodical and thorough.
- Must be able to lift 50 lbs over their head and is confident using all tools within a standard toolbox kit (drill, screwdriver, anchors, etc).
OVERALL
- Tact and good judgment in confidential situations and proven experience interacting with leadership and working within a corporate setting.
- Proficient knowledge of MS Word, Excel, Office Pro and Key Note.
- Proficient in G Suite related applications. (Drive, Docs, Sheets, etc).
