Transcript Coordinator
POSITION DESCRIPTION
The Transcript Coordinator is responsible for managing all aspects of student transcripts, including preparation, review and issuance. This role ensures that transcripts are accurate, comply with academic regulations, and meet the needs of students, alumni, and external institutions. The position requires attention to detail, strong organizational skills, and the ability to work closely with staff and students on transcript-related matters.
KEY ROLES AND RESPONSIBILITIES
- Managing Student Records
- Maintain accurate and up-to-date records for all student transcripts.
- Review transcripts from other institutions, both in-state and out-of-state, as well as courses taken at Foundation Academies, to determine the credits students have earned and the credits they still need to either move to the next grade or graduate.
- Credit Evaluation
- Analyze student records to identify the appropriate credit track (18-credit, 24-credit, or GRAD track) for each student.
- Generate detailed and accurate transcripts reflecting students’ academic progress and fulfillment of graduation or promotion requirements.
- Transcript Preparation and Issuance
- Prepare official transcripts for graduates and withdrawal transcripts for current and former students upon request.
- Verify the accuracy of course codes, student information, and credit details on all transcripts.
- Conduct periodic audits of new and existing student transcripts to ensure data integrity and compliance with regulations.
- Collaboration with Staff
- Work closely with Student Advisors and Deans to address and resolve credit discrepancies or transcript inaccuracies.
- Provide completed transcripts to Student Advisors and Deans for review and distribution.
- Support with College Applications
- Assist students with the college application process by submitting transcripts to colleges and universities as requested.
- Ensure timely delivery of transcripts to external institutions and maintain accurate records of submissions.
- Compliance and Recordkeeping
- Ensure all transcript processes adhere to academic regulations and institutional policies.
- Maintain confidentiality and security of student academic records in accordance with FERPA and other privacy laws.
- Evaluation of International Credits
- Conduct thorough research to understand how credit systems function in other countries.
- Review and analyze international transcripts to identify course equivalencies with the U.S. education system.
- Determine how foreign courses align with local credit and curriculum standards to ensure accurate and fair credit transfers.
