Job Summary
We are seeking a dedicated and tech-savvy Help Desk / Applications Specialist to join our team. The Helpdesk/Applications Specialist will be responsible for providing first and second-level technical support to internal users, troubleshooting hardware and software issues, and assisting with the installation, configuration, and maintenance of applications. This individual will analyze, troubleshoot, and resolve hardware, document, and software problems to enhance the end-user experience. This position requires a strong understanding of desktop operating systems, their related infrastructure, and an advanced level of software/application knowledge. This role will collaborate on process improvements and contribute to system updates. The ideal candidate will have a strong understanding of IT systems, excellent problem-solving abilities, and a passion for delivering top-notch customer service. The position will report to the Director of IT.
Essential Job Functions:
- Provide technical support for users via phone, email, and in-person, addressing a wide range of technical issues related to software applications, hardware, and network connectivity.
- Respond to and resolve user inquiries and issues in a timely manner.
- Answer incoming helpdesk calls and emails, create tickets and follow-up with users post resolution.
- Troubleshoot, diagnose, and resolve technical problems related to operating systems, applications, and networking.
- PC deployment and replacement, including working with imaging software and related tools
- Install, configure, and maintain software applications, ensuring all systems are up to date and fully functional.
- Monitor and maintain system performance, performing routine checks and preventive maintenance on software applications.
- Participate in software upgrades, patches, and new application rollouts.
- Basic network troubleshooting.
- Become an expert in and support our document management software solution (NetDocuments) and the related integrations.
- Set up PCs and other hardware for new hires.
- Assist with the onboarding and training of new employees on software applications and IT processes.
- Participate in the creation of new forms, templates, macros, styles, etc., in alignment with the Firm’s brand and style guidelines.
- Assist users when working remotely and troubleshooting non-Gable systems and networks to a limited extent.
- Other special projects and duties as assigned (e.g., back-up support and Marketing/Bus. Development support (e.g., website bio updates)
Qualifications
Education and Qualifications:
- Associate’s degree in information technology, computer science, or a related field (or equivalent certification or work experience).
- Proven experience in a help desk or IT support role.
- Strong knowledge of computer systems, hardware, software, and networking.
Required Skills:
- Familiarity with various operating systems (Windows, macOS) and office applications (Microsoft Office suite).
- Hands-on experience with common business applications, troubleshooting, and problem-solving.
- In-depth knowledge of Microsoft Suite applications, including MS Office 365, local applications, and web-based support for document troubleshooting.
- Experience supporting Active Directory and Microsoft’s Entra ID, including group management and enterprise application support.
- Basic administrative experience with SharePoint
- Proficient in Adobe Suite, with a focus on Acrobat Pro.
- Exceptional written and verbal skills, including the ability to communicate complex technical concepts in a manner readily understood by non-technical users, both orally and written.
- Proactive problem solver and the ability to see the big picture.
- Strong team player: able to work collaboratively with others to meet shared objectives.
- Experience in troubleshooting complex issues involving multiple parties including software vendors.
- Maintain a positive, “can-do” attitude, while working in a fast-paced working environment.
- Able to work independently or as a team in a collaborative environment.
- Excellent attendance record, being dependable and trustworthy.
Working Environment
- Fast-paced environment with pressured deadlines.
- Interior office with low to moderate sound levels.
- Rotational on-call support with an occasional evening or weekend availability required.
- Periodic travel to the OKC and Houston office may be required.
Physical Demands
While performing the duties of this job, the employee will be required to read from hard-copy paper and computer screen, sit, talk, hear, use wrist, hands and fingers repetitively to type, write, operate computer and other office equipment/machinery, handle and grasp paper and other office objects. Additionally, the person in this position will remain in a stationary sitting position 90% of the time working on a computer; occasionally moving about our offices in both cities to visit and meet with others and/or attend meetings, access file cabinets, use office machinery, etc., which will require bending and lifting of items less than 40 lbs.
