Schedule: Monday – Friday, 8:30 AM – 5:30 PM (In-Person)
Summary
We are seeking a highly professional and dependable individual to serve as the first point of contact for all visitors in a corporate environment. The ideal candidate will work with individuals at all levels of the organization, maintain a polished and professional demeanor, and manage administrative duties with efficiency and discretion. This role requires a proactive individual who stays engaged and productive throughout the workday. Candidate will assist with office administration and other clerical duties as required.
Essential Duties and Responsibilities
- Meets and greets all visitors; determines their needs and directs them to the appropriate employee or area.
- Responds to visitors, clients, and employees in a courteous and professional manner.
- Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as required.
- Prepares and maintains meeting and conference room reservation schedules and calendars.
- Responsible for maintaining kitchen/cafeteria in an organized manner and stocked as needed.
- Responsible for procurement of office supplies.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Performs other related duties as assigned.
Knowledge, Skills and Abilities
- Excellent verbal and written communication skills.
- Strong interpersonal skills with proven ability to deal effectively with diversity of individuals at all organizational levels.
- Strong organizational skills.
- Ability to manage priorities and workflow.
- Must be able to speak, read, write and understand English and Spanish for use in the workplace.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
- Proficient with Microsoft Word, Excel, Outlook and Teams.
- Proven ability to handle multiple projects and meet deadlines.
Minimum Education and Experience
- Two years of customer service experience preferred within a professional office/corporate work environment.
- Professional appearance and demeanor required.
- Bilingual (English and Spanish) required.
- Proven ability to perform diverse clerical functions within a professional work environment
