Office Assistant

Duties and Responsibilities:
The Office Assistant is a part-time secretarial position, in a typical office environment with general working hours of 9:30 am until 2:30pm. The Office Assistant must be an individual with excellent communication, learning, interpersonal, organizational, time management, problem-solving, and record-keeping skills; be self-motivated yet comfortable working as a member of a team. In addition to being resourceful and accurate while performing tasks, the Office Assistant must be able to think and act independently and be able to prioritize multiple tasks simultaneously. The Office Assistant reports to the Director but will work directly with the office staff.
The Office Assistant must have the ability to maintain a high level of confidentiality. Must be proficient in the use of office equipment and computers as well as business software including, but not limited to, Microsoft Outlook and Office products, virtual conferencing, and be able to quickly become proficient in various software platforms used in daily operations.
The Office Assistant’s responsibilities include but are not limited to: General secretarial work (answering phones, counter help, filing, recordkeeping, email, scheduling, etc.); The scheduling, recording and filing of all funeral services and related procedures; completing, recording and filing of all necessary forms, applications and documents relating to the daily operations of the Cemetery; and while not a main function, recording and processing of accounts payable, receivable, and payroll as well as the generation of reports associated with these operations may be required from time to time.
The Office Assistant must also have a good understanding of the Rules and Regulations of Gethsemane Cemetery as well as the Rites and Rituals of the Roman Catholic Church pertaining to burial in order to effectively answer questions and provide the proper response to those we serve.
Educational Requirements: High school diploma or equivalent, Minimum 2 years secretarial experience or equivalent
English/Spanish bilingual a plus
Other requirements:
All cemetery employees must retain clear records of Pennsylvania State Police Criminal Record Check (PATCH), Pennsylvania Child Abuse History, and Federal Bureau of Investigation Criminal Background Fingerprint Check Required. All employees must also have a neat appearance and are expected to be polite and respectful to the public and can handle client situations with fairness and patience with whom they might encounter during the course of daily business. They must also possess a current valid driver’s license and have reliable transportation to/from the Cemetery.
Due to the nature and mission of the Catholic Church, all employees are bound to exhibit respect for the teachings and discipline of the Church regarding matters of faith and morals.
Physical Demands: Regular standing, sitting, lifting, squatting, bending, reaching, speaking and hearing are all part of the job requirements. Employees must be able to lift and carry 20 pounds.
