Position Summary
Reporting directly to the Chief Executive Officer and consistent with the mission of Girls on the Run International, the Executive Assistant is responsible for supporting communication between the CEO and various constituents, managing confidential data, and coordinating meetings and events. The position also provides administrative support as needed to senior staff members.
Principle Responsibilities

- Act as a point of contact and liaison between the CEO and internal/external constituents
- Schedule and ensure smooth execution of in-person meetings, executive events and virtual meetings, including board, committee, departmental and all-staff meetings
- Prepare draft agendas, PowerPoint presentations, project summaries, and agendas and oversee distribution of meeting materials
- Attend board meetings, board committee meetings and other select executive level meetings, drafting and distributing minutes and overseeing necessary follow-up actions
- Support CEO and SVP of Human Resources & Belonging with all staff appreciation initiatives
- Coordinate events for CEO including speaking engagements, team-building activities, and partner meetings, ensuring seamless execution of all logistics
- Compose and prepare emails, letters, and notecards for volunteers, councils, alumni, donors, and partners on behalf of the CEO
- Print materials and mail letters or packages on behalf of senior level staff to volunteers, councils, donors and partners
- Work closely with departments to secure relevant data and reports for chief-level staff to support decision-making processes.
- Manage senior staff calendars, coordinating meetings, conferences, and related travel arrangements as needed
- Oversee monthly mailing of alumni recognition gifts
- Provide support as needed in planning, executing, and monitoring key projects, working collaboratively with cross-functional teams to ensure success
- Support Chief Development Officer as needed with partner and funder needs
- Support Chief Financial Officer with administering and maintaining contracts and legal documents
- Monitor info@ email account and general phone line, forwarding messages to appropriate staff members
- Monitor virtual mailbox and distribute items as appropriate
- Provide administrative support as needed to senior staff, including expense management and time allocation reports

Qualifications
- A minimum of 3 years of experience providing executive support to C-level executives
- Proficiency in Microsoft Office Suite and other relevant tools/software

This is a remote, non-exempt, full-time position at 40 hours per week, offering a compensation range of $26 - $28 depending on experience.
