Administrative Support Staff - Full Time

Job Description
 
Title:                                   Administrative Support Staff
Reports to:                         Executive Director
FLSA Status:                      Non-Exempt
 
Minimum Qualifications:   
  1. High School Diploma, experience in online education preferred.
  2. Demonstrates proficiency in Microsoft Word, Excel, and PowerPoint.
  3. Experience in Final Forms, DASL, EMIS, SOES, and Online Curriculum Software preferred.
  4. Self-directed and able to learn the required skills for the position.
  5. Record-keeping skills and the ability to apply basic mathematical concepts.
  6. Strong character and ethical standards. 
  7. Valid Ohio driver’s license.
  8. Documented evidence of a clear criminal record.
 
Description: To process student data into DASL (Data Analysis for Student Learning), prepare reports, and maintain appropriate data files for the state-mandated Education Management Information System (EMIS).  This position would be responsible for requesting, tracking, and scanning student records in Final Forms after the student is registered. Maintain a professional atmosphere while performing the duties required to operate the office.  Assist students, parents, visitors, and staff efficiently. Support the school Superintendent/Executive Director. This position will be located primarily at the Greater Ohio Virtual School Central office in Lebanon, Ohio.
 
Essential Functions:
The following duties are representative of performance expectations.  A reasonable accommodation may be made to enable a qualified individual with a disability to perform essential functions. 
  1. Upholds board policies and follows administrative procedures.
  2. Promotes a favorable image of the school district.
  3. Responsible for all school-related data processing activities, including, but not limited to, scheduling, attendance, transcripts/grade reports, class lists, and discipline.
  4. Serve as the district's registration and enrollment processor.
  5. Maintain current instructional guides related to EMIS to ensure data accuracy when changes in law occur.
  6. Safeguard student files so they are not lost, misfiled, or open to unauthorized personnel.
  7. Manages time-sensitive projects.
  8. Responsible for smooth operation and professional appearance of the office.
  9. Maintains confidentiality of privileged information.  Respects personal privacy.
  10. Type letters and memos and process reports for administrative staff as directed.  Duplicates and collates materials as directed.  Helps prepare special mailings.
  11. Operates all office equipment as needed.
  12. Receives telephone calls and makes proper disposition of calls.
  13. Receives, sorts, and counts money collected in the office as directed.
  14. Prepares requisitions as directed.  Receives, stores, and inventories office supplies.
  15. Knowledge of the school's activities and functions on a daily basis to answer routine questions from parents, communities, and outside entities.
  16. Participates in staff meetings and professional growth activities as directed.
  17. Works as a cooperative team member and maintains a positive relationship with peers.
  18. Performs other duties as assigned by the building administrators.

Working Conditions:   
Exposure to the following situations may range from remote to frequent based on circumstances and factors that may not be predictable.                                                  
  1. Possible exposure to blood-borne pathogens and communicable diseases.
  2. Possible operation of a vehicle under inclement weather conditions.
  3. Possible interaction among unruly students.
  4. Repetitive hand motion, e.g., computer keyboard, typing.
  5. Duties require detailed paperwork.
  6. Duties require working under time constraints to meet deadlines.
  7. Interruption of duties by students, visitors, staff, and or telephone.

Evaluation:    Job performance is evaluated according to the policy provisions adopted by the Greater Ohio Virtual School Governing Board.
