Job Title: Executive Assistant
Reports To: CEO
FLSA Status: Non-Exempt, Full Time

Job Summary:
The Executive Assistant provides high-level administrative and clerical support to the CEO, ensuring smooth coordination of activities and maintaining an efficient workflow. This role involves handling sensitive information with confidentiality, exercising sound judgment, and delivering work with accuracy and timeliness.

Essential Responsibilities:

  • Perform a variety of confidential administrative and clerical tasks independently with professionalism and discretion.
  • Learn and apply organizational policies, procedures, and regulations.
  • Screen and direct visitors, phone calls, and correspondence appropriately.
  • Draft, review, and respond to routine correspondence, ensuring timely distribution.
  • Maintain organized and up-to-date filing systems for easy reference and retrieval.
  • Interact tactfully and courteously with clients, staff, and the public, addressing inquiries professionally in person or over the phone.
  • Research, compile, and analyze data for special projects and reports.
  • Prepare comprehensive reports by gathering and organizing information.
  • Proofread all outgoing documents to ensure accuracy and coherence.
  • Maintain confidentiality for all reports, documents, and records prepared for the CEO.
  • Manage appointment schedules, calendars, and meeting arrangements, including agenda preparation and participant coordination.
  • Record, edit, and distribute meeting minutes accurately and efficiently.
  • Coordinate and participate in conferences and meetings as needed.
  • Implement and oversee quality control measures to ensure the appropriateness of services and products.
  • Perform additional duties as assigned by the CEO.

Qualifications:

  • Education/Experience: Minimum of 1-2 years of administrative experience; healthcare industry experience preferred.
  • Skills: Proficiency in modern office practices, systems, and equipment. Strong interpersonal and communication skills. Ability to type at least 40 words per minute.
  • Abilities: Exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.

Physical Requirements:

  • Continuous sitting with occasional standing, walking, bending, and reaching.
  • Must be able to see, hear, speak, and use both hands effectively.
  • Ability to lift up to 50 pounds occasionally.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour
