We are looking for a Benefits Administrator who will be responsible for researching, analyzing, and administering corporate health well-being and retirement benefit programs in a manner supporting company culture and ensuring policy and statutory compliance with governing agencies for a rapidly growing organization. This position is responsible for directing and planning the day-to-day operations of group benefit programs (group health, dental, vision, short-term and long-term disability, life insurance, flexible spending plans, health savings accounts, 401k), while providing the highest level of service to HALO employees and holds vendors accountable for the same. 


***Must be able to travel to Oakbrook, IL office 1-2x a month and to Sterling, IL Office 1x a month***

Responsibilities:  

  • Design/Manage benefit programs for employees to enhance our employment value proposition and increase employee loyalty and retention. 
  • Research and make recommendations to offer cost-effective and competitive employee benefit plans, that meet HALO vendor requirements.
  • Monitor success measure of benefit programs and develop new measures to ensure costs are minimized and efficiencies are optimized by providing and presenting reports on benefit programs. 
  • Lead program implementation & disruption management for impacted members.
  • Responsible for preparation and distribution of all legally required documents & compliance related activities, to meet applicable state & federal laws. 
  • Manage enrollments and determine eligibility and status changes, ensuring accuracy, legal compliance, consistency, and confidentiality.
  • Manage vendor contracts, planning, performance, and contract renewal process. 
  • Manage employee data and leverage the HRIS system to maintain and report on employee changes, eligibility and provide reporting to leadership. 
  • Oversee system updates required for plan and contribution changes, integrity of data feeds, and carrier coordination. 
  • Provide HR system audit support.
  • Respond to questions/inquiries from current or prospective employees regarding benefits. 
  • Administer benefit claim resolution, change reporting, and COBRA compliance with third party administrators and carriers for all insured benefit plans.
  • Manage funding process for funded benefits.
  • Manage 401(k) plan administration from participant to fiduciary level. Coordinate and participate in annual 401(k) plan independent audit and non-discrimination testing.
  • Maintain files of 401(k) plan contributions, loans, distributions, history, data, correspondence, reports, forms and bi-weekly data transfer and funding.
  • Reconcile monthly insurance billings and process payments.
  • Manage HALO’s Wellness program to support Wellness initiative. Lead employee Wellness program and develop a team of champions.
  • Lead benefits process from Due Diligence to Implementation during business acquisitions.
  • Perform other duties as assigned.


Requirements

  • Bachelor’s degree, preferably in human resource management or related field or equivalent combination of education, training and experience. 
  • 5 years human resources experience; a minimum of 5 years of direct benefits administration experience.
  • Extensive exposure to benefits design, compliance, administration, and communications.
  • Thorough understanding of employment & benefit related laws and regulations.
  • Comfortable with ambiguity and able to thrive in a fast-paced environment.
  • Demonstrated high level of analytical skills.
  • Ability to consistently maintain a high level of confidentiality; this includes during non-work time.
  • Demonstration of patience and sensitivity when discussing personal information in potentially stressful situations. 
  • Use of time management and prioritization skills to complete multiple tasks by deadlines.
  • Knowledge of company policies/procedures and benefit packages. 
  • Experience with driving adoption of workplace wellness initiatives.
  • Experience with or knowledge of Payroll & HRIS systems.
  • Proficiency in Microsoft Outlook, Word, Excel and Power Point.
  • xcellent and effective oral and written communication skills.
  • Ability to clearly explain complex information.
  • Presentation of an approachable, positive, professional attitude and appearance.
  • Creative problem-solving capabilities.
  • Flexibility and ability to work well in a team environment.
  • Capable of domestic travel, sometimes with short notice, up to 10% of the time.
