Position Overview: Harper Construction, located in the vibrant Little Italy neighborhood of downtown San Diego, is seeking a dedicated and detail-oriented Design Department Coordinator. This role is essential in managing the department's administrative and operational functions, supporting project execution, and ensuring efficient workflows. The ideal candidate will coordinate project timelines for Design Project Managers, oversee documentation and compliance requirements, and support the in-house architectural design team. Experience in the building design and construction industry, particularly with federal projects, and understanding of compliance with NAVFAC and USACE standards, is highly preferred.

Key Responsibilities:

  • Incorporate amendments into government-furnished RFPs, utilize company templates to prepare design contracts and design quality control plans.
  • Organize and support department meetings, including project kickoffs, follow-up meetings, and manage coordination with government teams via platforms like DRChecks, Procore, and Bluebeam.
  • Assist in all project design phases, from conceptual design through the development of construction documents and design closeout processes.
  • Prepare, review, and edit contracts, correspondence, reports, presentations, and design submittal packages. Manage filing systems and ensure proper document organization.
  • Develop and maintain office standards and procedures, digital project folder structures, and permissions in relevant software platforms.
  • Oversee the preparation of project as-built/record drawings and manage the design document closeout process during the construction phase.
  • Ensure all final deliverables are properly reviewed, endorsed, and issued, coordinating thoroughly with owners and field teams.
  • Manage project management tools, ensuring seamless collaboration and communication. Write and distribute meeting minutes and follow up on action items.
  • Collaborate with project managers, design teams, and stakeholders to ensure efficient workflows and timely communication.
  • Provide comprehensive administrative support to the Design Department, including scheduling, task coordination, and facilitating communication across teams.

Qualifications:

  • A minimum of 5 years of office management experience, preferably in a building design and construction environment.
  • Bachelor’s degree in Business Administration, Construction, Design, Project Management, or a related field is preferred.
  • Strong familiarity with architectural and construction processes.
  • Excellent communication skills, including the ability to proofread and edit documents.
  • Proficiency in Microsoft Office Suite, Bluebeam, and project management software.
  • Experience with federal contracting, especially with NAVFAC and USACE standards, is highly desirable.

Compensation and Benefits:

  • Hourly Rate: $30–$33/hour
