Professional Education (PPE) at the Harvard Graduate School of Education (HGSE) is seeking applicants for the Program Assistant Intern position to assist with multiple aspects of professional development programs for educators during the summer of 2025. The Program Assistant Intern will support a fast-paced, customer-service-oriented team, that serves more than 15,000 educators in early childhood, K-12, and higher education around the world each year through a diverse portfolio of professional learning offerings. During the summer, late May through early August, PPE conducts 14 on-campus summer programs, each serving 60 educational leaders and teachers in the areas of higher education, preK-12 public and private schools and systems, and international education.
Job Description
The Program Assistant Intern works collaboratively with PPE staff to support logistical and operational aspects of on-campus learning experiences for program participants and faculty. Additionally, the Program Assistant Intern may conduct time-limited projects and work on streamlining institutional processes. Responsibilities may include:
1. Program logistics:
- Organizing, preparing, and assuring the quality of program materials, including handouts, seating charts, small group sheets, name badges, name tents, and certificates
- Managing program supply inventory: implementing an inventory tracking system and optimizing inventory control procedures
- Staffing program registration and information tables
- Setting up and maintaining classroom and breakout spaces
- Transporting materials
- Monitoring catering schedule and set-up
- Audiovisual support
- Running program-related errands
- Organizing and completing book mailings and other outbound mailings
- Attending intern orientation and training sessions
- Other projects as assigned
2. Streamlining institutional processes:
- Conducting institutional research
- Cleaning up and maintaining participant records in Salesforce
- Other projects as assigned
Requirements/Qualities:
- Ability to work occasional weekends, early morning, and evening hours
- Strong customer-service orientation

Skills:

- Experience with mail merge practice a plus
- Administrative and/or office experience will be helpful
- Occasional lifting required (up to 20 pounds)
Compensation Rate: $20.00/hour
Hours: 35/week (up to 40 on occasion)
Some overtime, including nights and weekends, may be required
Duration/Length: Late May – early August
