Hybrid Agency : Havas Health & You Job Description Summary : The Director of Project Management role will lead the project management team and be responsible for defining, training and enforcing and always improving workflow. The project management team plays a critical role in everything we do. The Director of Project Management will be refining process, project communications, defining resource needs to ensuring financial success for the agency. HHCX is looking for a VP, Digital Production, who is a natural leader and can flawlessly manage any project or program end-to-end (from initiation, definition, through to delivery). The VP is a pivotal role within the agency that will provide direction across a range of accounts, pitches and internal initiatives. The role would primarily support the Account, Creative, Data, Technology and Strategy team members in delivering both standalone Data and Strategic projects for clients, but also full-service projects collaborating with other teams within HHCX globally as well as with agencies within HH&Y. The role would suit someone who is an ambitious, enthusiastic and digitally savvy person looking for a new challenge in a demanding industry. Responsibilities Understands agency strategies/priorities and how to translate them into actionable objectives for the producer department Understands client business strategies across agency and drives application of producer strategies and resources to meet client and agency goals Ensures teams are properly staffed and funded with efficient levels of staffing across disciplines; ensures staffing mix is correct and is talent to task for various workstreams Ensures the producer team has a solid understanding of project management methodologies Ensures consistent project documentation including scopes of work, project plans, solution blueprints, project definition plans, contact/status reports, resourcing and revenue projections Deeper insights into financial data and working closely with Finance, HR, IT and Executive Leadership on scoping, staffing and revenue projections across the agency Drive initiatives to source, improve and effectively employ agency systems and tools Act as primary point of escalation for account/operational challenges and work with other leaders, team members to solve Liase with Sr. Resource Management to ensure proper resource utilization and billability Identifies and mitigates risk early in the lifecycle and demonstrates that value to direct reports Balances short-term operational priorities while driving long-term client and agency business goals Conflict and crisis management within team, exhibiting a sense of calm, control and solutions-based approach during high-pressure situations Advocates for agency operations and producer department Works with Director level to ensure all producers are set on his/her proper trajectory for career success and growth and understands role/responsibilities of their level and next level Strong analysis of internal teammates, effectively maximizing their skills to produce quality in a timely, cost-conscious manner Strong negotiation skills with internal team to yield favorable outcomes and seamless delivery Works with Directors/Agency Leadership to keep team's skill sets relevant (offering internal/external training programs, etc.) Supervises mentoring and succession planning and yearly reviews within the department. Provides support in resolution of performance Spearheads initiatives to outline and promote best practices and trainings for department Interacts and coordinates efforts with multiple network agencies during joint pitches initiatives and coordinates resource/project split to ensure the maximum efficiency and operational excellence Support new business teams through the scoping and pitching process Financial Management Ensures consistent methods are applied to forecasting and tracking costs, including new business Knows agency standards, procurement processes, and client guidelines to ensure effective reviews and submissions of all budgets, amendments, and reconciliations Analyzes financial data to identify opportunities to drive efficiency and optimize portfolio/team performance Partners with finance team to reviews/approves annual SOW for all agency brands/clients Ensure lock-step coordination with Account leads and Finance on approach, tools and execution of financial management Expert Level portfolio budget management skills across multiple accounts Regularly assesses and informs supervisor and senior agency management of factors that may impact approval of budgets, agency rates, and resources Ensures engagements managed to meet/exceed office financial goals (e.g. P & L, Freelance, margins, etc.) On-going coordination with Sr Leadership and Finance on approach, tools and execution of financial management Analyzes historic agency financial data and industry intelligence to develop benchmarks for future estimates and staff planning Experience Has managed a portfolio level of at least $15 MM 10 years' experience working at an agency on at least one pharmaceutical brand, and a proven track record of delivery for data drive, user experience or digital programs Has managed a team of direct reports, including 1-2 Director level reports Has developed and managed a large-scale SOW for multiple pharma clients at an agency Participated in agency new business development and pitches Strong leadership skills, brilliant communicator, pathfinder and problem solver Able to think quickly and smartly under pressure Qualified as a certified Scrum Master or Agile a plus Contract Type : Permanent Here at Havas across the group we pride ourselves on being committed to offering equal opportunities to all potential employees and have zero tolerance for discrimination.
