Administrative Coordinator
HematoLogics has an exciting opportunity for an Administrative Coordinator to join our team onsite at our laboratory on the Seattle waterfront. This is a dynamic position requiring the ability to provide accurate and precise administrative services while fluidly shifting between multiple duties. We are seeking a candidate with strong interpersonal and administrative skills to work successfully with our Operations team. This position will be a full time Monday-Friday role.
Hematologics was founded in 1995 with the goal of assembling a group of people passionate about the application of advanced technologies to diagnosing and managing patients with leukemia or lymphoma. Responsibilities include but are not limited to:
· Provide general administrative support including calendar scheduling and correspondence.
· Lunch ordering for departmental and companywide lunches.
· Owning the ordering for companywide gift cards for remote employees, company swag, and office concessions.
· Managing conference room scheduling and reservations.
· Assist in administering/organizing FOB access and our Parking Pass Policy, as needed.
· Assist with office organizational tasks, as needed, for company remodel.
· Assist in the coordination and execution of department-wide projects and initiatives.
· Owns event planning for all company occasions (e.g., summer and holiday parties, Halloween costume contest, lab week).
· Provide support for team events, and other departmental activities.
· Ensuring teams stay within budget for team initiatives (i.e., team lunches).
· Organizing and sending expense receipts to Accounting.
· Offer administrative support to team members and senior management as needed.
· Foster positive relationships with internal and external stakeholders to ensure effective collaboration.
· Contribute to the development of administrative policies and procedures to streamline workflow.
· Assist Human Resources with projects, as needed.
· Providing overall highly skilled administrative and office support to the HematoLogics staff, coordinating with the Office Manager, Clinical Laboratory Assistants, Client Services Coordinator, and other technical and nontechnical staff.
· Ad-hoc projects as needed.
Qualifications:
· B.A./B.S. in Business Administration, Office/Event Management, Human Resources or relate field.
· Minimum of 2 years of experience in an administrative role or similar position. Hospitality experience a plus.
· Excellent written, verbal and interpersonal communication skills and the ability to use wise judgement in working independently and within a team.
· Client-focused approach and dedication to HematoLogics mission and values.
· Ability to demonstrate computer literacy, exemplified by proficiency in Microsoft Suite and navigation of various software with ease.
· Strong attention to detail and problem-solving skills.
· Ability to work independently as well as collaboratively with a team.
· Ability to work well with diverse individuals and groups, accommodating varying work styles and perspectives.
· Ability to demonstrate initiative, work effectively under pressure, prioritize tasks in a fast-paced environment, and maintain a positive attitude and proactive work ethic.
· High level of integrity and ability to handle sensitive and confidential information with discretion.
· Highly organized with strong attention to detail.
· Experienced in scheduling and communicating with vendors.
· Light knowledge of financial tools and expense management.
Working Conditions:
· Full-time position, with standard office hours, M-F, 7:30am-4pm.
· Occasional overtime or flexibility may be required based on project timelines.
· Ability to lift up to 30 pounds.
· Must be able to come onsite 4 days a week.
