JOB CLASSIFICATION: Confidential
DAYS OF EMPLOYMENT: 12 months per year (260 days) HOURS OF EMPLOYMENT: 7.5 hours per day
JOB GOAL: To provide secretarial support duties to the Superintendent.
ESSENTIAL FUNCTIONS OF JOB: 1. Prepares and types confidential correspondence, letter, reports and documents. 2. Assists in gathering and preparing data for contract negotiations. 3. Types and processes a variety of personnel related issues. 4. Assists the Superintendent with correspondence to board members. 5. Acts as liaison between Superintendent and board members. 6. Arranges conference registrations/accommodations for the Superintendent. 7. Arranges travel/conferences for board members when needed. 8. Schedules appointments and meetings and assists the Superintendent in maintaining his calendar. 9. Coordinates the following: board reorganization, expulsion hearings, administrative council retreat, district casual dress days, flyer distribution to buildings, distribution of Statement of Financial Interest forms 10. Prepares Crisis Information for PA State Police annually. 11. Assists with making weather-related media calls and website/Facebook notifications. 12. Board Policy: assists the Superintendent with policy updates, prepares policies for Policy Committee meeting, and works with PSBA for updating policies on BoardDocs. 13. Prepares the following items: school calendar, annual plan, annual report, Back-to-School mailing, board meeting highlights, information for media, coordinates the annual United Way Campaign for the district, Back-to-School letter for the district employees, Christmas letter to staff 14. Prepares information for PDE reporting: annual Safe Schools Report, annual EdNA report, tracks building fire drills for reporting to PDE. 15. Prepares agendas and documents for meetings as needed: Administrative Council, Principals’ meeting, Teacher Leadership Council, Parent Leadership Council, and any others as directed by the Superintendent. 16. Attends monthly Administrative Council and President’s Council meetings and takes minutes. 17. Prepares requisitions, expense reports, conference requests and other related items for the Superintendent. 18. Answers phone calls and directs callers to appropriate district personnel. 19. Tracks district assessment appeals as directed by the Superintendent. 20. Tracks Schedule “C” reports. 21. Tracks Booster Groups. 22. Monitors Penn Link e-mails and Community Comments e-mails daily. 23. Assists Superintendent with Right-to-Know requests. 24. Assists in maintaining the district website, district intranet calendar and the district Facebook page. 25. Prepares Tiger Pride, the district annual achievement report. Confidential Secretary II (Superintendent) Page 2 of 3 26. Co-manages the AESOP time-accounting system with HR secretary. 27. Handles time accounting which includes: tracking and confirmation of employee attendance each pay period, monitors employees on leave, prepares data for annual attendance rollover, prepares annual work days information for all groups, prepares administrator timesheets annually, distributes annual sick leave bank/conversion day form to teachers, distributes annual conversion day form to administrators. 28. Maintains petty cash account and administrative council flower fund and orders arrangements as needed. 29. Maintains the building entrance marquis and bulletin board, monitors newspaper daily for articles pertaining to the district.
OTHER DUTIES OF JOB: 1. Operates computer and other office equipment. 2. Assists other District employees as requested. 3. Interacts with other District departments as necessary. 4. Attends meetings, training and seminars as required. 5. Performs other job-related duties as required.
SUPERVISION RECEIVED: Receives instruction and supervision from Superintendent. SUPERVISION GIVEN: None WORKING CONDITIONS: 1. Works indoors in adequate workspace, lighting, and ventilation with some fluctuation in temperature. 2. Works with average indoor exposure to noise and stress but subject to constant interruptions. 3. Normal indoor exposure to dust/dirt. 4. Periodically exposed to irate parents or students during or related to a complaint or outstanding issue.
PHYSICAL AND MENTAL CONDITIONS: 1. Must possess hearing, seeing, speaking, and reasoning senses necessary to carry out job duties. 2. Must possess ability to record, convey, and present information; explain policies and procedures; and follow instructions. 3. Must be able to sit, stand, and walk for intermittent periods throughout the workday with frequent twisting, bending, carrying, squatting, climbing, pushing, grasping as necessary to carry out job duties. 4. Dexterity requirements range from coordinated movements of hands/fingers to operate computer to simple movements of feet/legs and torso necessary to carry out job duties. 5. Must be able to pay close attention to details and concentrate on work. 6. Light work with occasional lifting and carrying of objects of weights of approximately ten pounds. 7. Must demonstrate the ability to cope with a busy office and multiple priorities. 8. Must demonstrate emotional stability. 9. Must be able to move frequently throughout the workday
