Summary/Objective
The administrative coordinator position is responsible for overall office activities, including the reception area, phones, visitors, mail, and supply orders. Also responsible for performance of general clerical activities.
Essential Functions

Provides general clerical and other administrative assistance to the Regional Director and management team including, but not limited to: scheduling appointments, typing correspondence, filing, file audits, data entry.
Coordinates the reception area and uses professional telephone communications both internally and externally to maintain positive image for Boundless.
Ensures that all guests sign in/out and are treated respectfully. Contacts staff for Boundless to inform them of any guests in a timely fashion.
Receives, sorts, and distributes mail to Boundless staff persons.
Monitors office supply levels and informs Boundless staff persons if orders may be necessary. Assists with negotiation and purchase of office supplies for Boundless in accordance with company purchasing policies and budgetary restrictions.
Supervises the maintenance of office equipment, including copier, fax machine, etc. Informs IT of any problems as they occur.
Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
Conduct employee on-boarding appointments, including notarizing of documents are necessary.
Management local training registration and communication/scheduling with vendors.
Schedule conference and training room use.
Participates as needed in special projects.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Travel
Limited local travel is expected for this position.
Required Education and Experience
High school diploma or equivalent.
At least two years of previous experience in office management or administrative coordination.
At least two years of phone or reception experience.
Working knowledge of mail processes such as postage machine, FedEx and UPS.
High level proficiency with all MS Office suite products.
Must obtain Ohio Notary within 30 days of employment.
Preferred Education and Experience
Bachelor’s degree.
Experience working with people with developmental disabilities.
