Job Description
To perform a wide variety of secretarial support functions; apply detailed program knowledge in developing and/or maintaining program records systems and/or in collecting information, preparing reports and providing liaison between management, other organizational units, and external customers; perform related work.
The successful candidate must be knowledgeable of procedures and program requirements to respond to inquiries, explain department services, policies, procedures, and rationale for decisions to student applicants and clinic clients, while attending to the importance of confidentiality. They will also utilize advanced web based computer skills with web based computer programs for the tracking/management of student records and maintaining the security and confidentiality for students and clinic clients. They will apply detailed program knowledge in developing and/or maintaining program records systems and/or in collecting information. As well as be the liaison between the department and the community.
Key Responsibilities
Office support functions including word processing, digital data management, composing a variety of business documents, reception, ordering and reconciling purchases.- Speak regularly with faculty who organize workshops, cultural exchanges, and on-line classes, students in the program and perspective students, Department Chair and other University departments.
- Scheduling appointments for the Pocatello Counseling Clinic and interaction with clients regarding services.
- Make decisions on if a workshop will run depending on the number of paid attendees.
- Confirm with workshop coordinator of borderline enrollments, and deal with attendees for credit, or CEUs.
- Reimburse presenters for travel and honorariums.
- Use with technology in tracking of students' required completion and security/confidentiality with technology.
Minimum Qualifications
Good knowledge of:
- Office support functions including word processing, filing, composing a variety of business documents and reception.
- Spreadsheet software (for example Excel or Google Sheets) to gather and compile data.
- Balancing and coordinating a workload for multiple projects.
Specialty Items
Some positions at ISU may require one or more of the following.
Good knowledge of:
- Medical terminology and medical documents.
Experience:
- Interpreting, applying, and explaining complex information.
