We are looking for an experienced administrative assistant to provide support for the Community Employment Services (CES) Program Director and staff.
Essential Functions*:
- Provide general clerical support to ensure smooth program operations.
- Maintain and organize participant files, including regular updates and purging.
- Process intakes and discharges in documentation software efficiently.
- Assist in the hiring process by scheduling and participating in interviews.
- Train and support staff to enhance team performance.
- Request funding authorizations in a timely manner.
- Prepare, review, edit, and route program paperwork.
- Conduct weekly audits of staff documentation for accuracy and compliance.
- Assist in the billing process and maintain organized billing records.
- Coordinate coverage and assist in scheduling CES staff leave and vacation requests.
- Attend CES staff meetings, take minutes, and distribute notes.
- Verify staff mileage and timecards before submitting to payroll.
- Keep departmental records accurate and up to date.
- Maintain a caseload, providing direct support to program participants.
- Collaborate with employers and participants to address challenges to employment and support job retention.
- Document participant progress with clear and accurate notes.
- Connect with participant Circle of Support if applicable.
- Schedule monthly external team meetings and send client related weekly updates.
- Complete and review documentation, such as Annual Plans, Progress Notes, and Reports.
- Submit participant progress reports to funding agencies as needed.
- Utilize effective time management and organizational skills to prioritize tasks effectively.

Qualifications
Required Education and Experience

Education:
- High School Diploma
Experience:
- Must have a minimum of two years’ experience working in an administrative capacity, preferably in services for individuals with disabilities, with indications of increasing levels of responsibility.
- Proficiency in MS Office Suite.
Preferred Education and Experience:
Experience:
- Experience working with adults with developmental disabilities, preferably in an inclusive and integrated setting.
Education:
- Bachelor's degree in human services or related field.
- CPR/First Aid Certification.
Additional eligibility requirements
- Must be able to verify employment eligibility under USCIS I-9 requirements
