Position Overview:

As our Admin Assistant for Nutritious Life, your main responsibility is to oversee and complete workflows and maintain organized systems and processes. This role is ideal for someone who thrives on details, enjoys creating efficiencies, and is skilled at juggling multiple priorities. 

 

Key Responsibilities:

  • Hands-on Administrative Tasks: Draft communications, manage files, and prepare meeting notes or follow-ups.
  • Task Management & Completion: Assign and monitor tasks for team members to ensure timely completion and follow-up on progress, including your own tasks. 
  • Daily To-Do Management: Send daily to-do lists to the executive team with necessary links and resources. 
  • Podcast Support: Handle scheduling, coordination, and logistics for podcast episodes, including managing timelines, communicating with guests, and posting each episode. 
  • Email Communication Management: Assist in creating, reviewing, and scheduling emails, ensuring accurate timing, audience segmentation, and tracking links.
  • Communication Workflow: Act as a liaison between platforms (e.g., Slack and Asana) to ensure plans, updates, and instructions are accurately documented and communicated.
  • Organizational Support: Provide assistance in organizing files, creating checklists, and ensuring clarity in task execution.
  • Documentation and Tracking: Maintain updated records of plans, deadlines, and workflows across tools and platforms.
  • Process Improvement: Identify and suggest improvements to existing processes to increase efficiency and productivity.

You…

  • Are highly organized and detail-oriented.
  • Enjoy hands-on administrative tasks and thrive in a supportive role.
  • Have excellent communication skills 
  • Prefer working from home and can self-organize and prioritize around work hours
  • Are tech-savvy, comfortable with tools like Slack, Asana, Google Workspace, and project management software.
  • Have experience in community management, email campaign scheduling, and/or podcast support.
  • Have 1-2 years of experience in a similar role (preferred).
