JOB SUMMARY
The position involves supervising staff, assisting with administrative activities and ensuring departmental objectives for recording and archiving legal documents and issuing marriage licenses according to state law. Also oversees all customer service functions.
ESSENTIAL JOB FUNCTIONS
- Supports and assists management and team members on a daily basis to accomplish administrative objectives and responsibilities.
- Supervises clerical staff to ensure policies and procedures are met, including verification of staff productivity.
- Provides training and evaluation for assigned clerical staff.
- Schedules subordinate activities.
- Ensures work flow of unit.
- Assists with daily reconciliation and bank deposits; resolves problems and researches any discrepancies in the daily balance.
- Prepares documentation for monthly billing for escrow account customers; ensures the timeliness and accuracy of recording documents.
- Interprets statutes and department procedures to ensure the accuracy of indexing, ability to record documents, issuance of marriage licenses, etc.
- Maintains knowledge of state statutes and office procedures for both functional units, acts as back-up to other team members as needed.
- Works on the floor to assist with the day to day unit activities, and to ensure that operational activities, projects and objectives are completed.
- Assists Recorder and Assistant Recorder with subordinate personnel issues and with revising department procedures.
- Examines and processes all legal documents entering the department for compliance with applicable laws from title companies, other charge or counter customers and mail entries.
- Serves as backup to Chief Deputy Recorder.
- Performs the duties of Record Clerk II and III team members as needed.
- Performs work at assigned location during specified business hours.
- Performs related additional duties as required and assigned.
