What are the responsibilities and job description for the Administrative Assistant position at JMAC Resources?
Reports To: CPI Office Manager
Hours: 5 days on 2 days off, 6 am - 6 pm
SUMMARY
Primary focus of this position will be administrative support at the CPI location. This position will be the first person the customers will come into contact with either in person or over the phone. It is important they have a pleasant demeanor, patience, and able to present a professional attitude.
Secondary focus of this position will be the responsibility of monitoring, maintaining, tracking, and processing CPI PO procedures to ensure payment completion with the accounting dept. This position must maintain open communication with the managers that approve these before getting sent on to accounting.
DUTIES
- Entering, storing, and maintaining sales and other data
- Welcome truck drivers and guide them through the process of using our facility
- Prepare snacks
- Greet customers and check them in and out of the plant
- Coordinate communication and timing of incoming trucks
- Coordinate and manage needs of the plant (repairs, water disposal, vendors, etc.)
- Track all outgoing fluids and solids. Maintain files for these records
- Answer incoming phone calls, take messages, etc.
- Maintain the entire office. Keep it organized, neat, and clean
- Ensure an adequate supply of office, PPE, and kitchen supplies
- Schedule and execute the shipments of loads to Idaho
- Work on PO's and get them sent to accounting
JOB SPECIFIC REQUIREMENTS
- Office clerical experience - 2 years minimum
- High School Diploma or general education degree (GED)
- Basic understanding of accounting
- Proficiency in Microsoft Office applications including intermediate Excel skills
- Excellent verbal and written communication skills, attention to detail
- Excellent customer service and phone skills Demonstrated pro-active approach to responsibilities along with the ability to multitask, execute requests on time, and ensure attention to detail and high-quality accuracy
- Strict adherence to JMAC policies and procedures as outlined in the Company Policies.
- Must possess a positive attitude and a willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
- Dependability and ability to work flexible/extended hours as needed. Timely and regular attendance is an expectation of performance for all JMAC Resources employees. Employees will be held accountable for adhering to their workplace schedule.
