Kestra Private Wealth Services, an independent, wholly owned RIA subsidiary of Kestra Financial, seeks a Project Coordinator. The ideal candidate will have working familiarity with the financial services business generally and be adept at efficiently managing multiple tasks simultaneously including supporting management team in various capacities, vendor management, coordinating new office set up which includes furniture, signage, equipment, utilities, and technology. Candidate will also work with our nationwide Financial Professional network providing operational and service support, as needed. The ideal candidate will also need to have a working familiarity with technology, hardware, and software, and be able to assist with troubleshooting and implementation, as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, individual must be able to perform each essential duty satisfactorily:
New Office Setup:
- Initiate vendor setup and establish and maintain vendor relationships, taking responsibility for their integration and management.
- Manage vendor billing during the initial 2-month setup period and transition the responsibilities to Accounts Payable once the setup phase is completed.
- Handle ordering of office furniture, coordinate shipping logistics, and manage onsite setup.
- Administer technology inventory: order, track, and schedule installations.
- Assist in monitoring the onboarding process for new recruits to guarantee seamless integration into KPWS.
- Support the PWS transition consultant with a variety of task including meeting coordination and SME recruit mapping.
- Assist in pipeline tracking and recruit management within Salesforce.
- Assist with billing processes for off-platform assets.
- Manage technology inventory, including ordering and scheduling refreshes.
- Provide continuous site management support for existing offices and address any escalations.
- Assist in tracking lease renewals and office refresh schedules.
- Independent, self-starter who is goal oriented, completes projects on time, and is accountable for high quality work product.
- Strong organizational and multitasking abilities.

- Understanding of the independent financial advisor industry is a plus.
- Travel up to 50% of the time.
EDUCATION AND/OR EXPERIENCE:
- High school diploma required; Bachelor’s preferred.
- Typically requires 2 years of related work experience.
- Microsoft Office experience required.
- Ability to sit at a computer for long periods of time in office environment well lit.
- Ability to lift up to 20 pounds.
- Position is located in Austin, TX office. Must be able to work in the office during scheduled work hours.
