Reception or Front Desk Coordinator
Job Summary: The Reception or Front Desk Coordinator plays a crucial role in ensuring the smooth operation of the LACASA Offices by greeting, assisting, and providing direction and information to clients, staff, visitors, and LACASA guests. The Reception or Front Desk Coordinator manages the front desk, lobby, supply area, postage/copy center, and part time employee and volunteer reception positions. Provides administrative and clerical support to agency employees and volunteers as necessary.
QUALIFICATIONS: High school diploma or equivalent preferred. Previous office/related experience preferred. Excellent interpersonal and customer service skills required. Excellent understanding of administrative and clerical procedures and systems required. Demonstrable proficiency with Windows Operating Software, Microsoft Office Suite and 365, multi-line phone systems, strong organizational skills, and multitasking abilities are necessary. Must be able to pass a drug screen test.
Responsibilities:
- Greets clients, visitors and guests with warmth and sincerity; identifies visitor’s purpose and directs or escorts them to appropriate locations.
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments as necessary. Responds to inquiries from the public, providing accurate information about our services and programs.
- Monitors and operates existing security systems and responds to security concerns appropriately. Follows security protocols to ensure the safety of all clients, staff, and visitors.
- Sorts and distributes incoming mail, notifies appropriate staff/departments, and processes outgoing mail and shipments.
- Trains and manages part time employee and volunteer reception positions.
- Maintains inventory and organization of the front desk, lobby, client waiting, donation and supply closets, and administration supply area, to include postage and copy area.
- Receives and documents packages and courier deliveries; notifies staff/departments and distributes as appropriate.
- Provides administrative and clerical support to administration teams, includes Accounting/Finance Department as needed.
- Processes approved donations and ensures tracking, notification of appropriate staff/departments, and distribution accordingly.
- Performs filing (electronic and hard copy), data entry, and recordkeeping as necessary to support assigned tasks.
- Assists with copying, scanning and shredding as needed.
- Coordinate with Facility Management Department to address any facility-related issues promptly.
- Monitors and maintains office supplies inventory, and places order requests as needed.
- Adheres to LACASA’s confidentiality policy as it relates to shelter residents, clients, and all aspects of agency operations, records, reports, and discussions.
- Other tasks as required or assigned.
PHYSICAL REQUIREMENTS:
· Prolonged periods of working on a computer.
· Prolonged periods of communication with individuals.
· Frequent navigation of facility.
· Occasionally required to lift items weighing up to 20 pounds.
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 40 per week
