High School Registrar


Lake Norman Charter is seeking qualified candidates for High School Registrar for immediate availability. This 12-month position is in-person and is located at the LNC High School campus.


Essential Job Functions:

The LNC High School Registrar administers data management on Infinite Campus for LNC High School in addition to maintaining overall set-up functions for LNC in Infinite Campus. This includes using the web-based system in administration of attendance, student services, running reports, processing student report cards, etc.


ILLUSTRATIVE EXAMPLES OF WORK

  • Registration
    • Coordinate registration of new students each year
    • Prepare all paperwork for registration, check all new enrollees’ paperwork. Enter new enrollees into Infinite Campus, checking the State database for duplicate students. Check that all immunizations and proof of residence documents are complete.
    • Obtain records of new students from previous schools
    • Import records into Infinite Campus from the previous school
    • Create cumulative folders and test data sheets for all new students


  • Student Demographic Records
    • Create and distribute current student emergency forms to existing students and monitor their return. Check the system for accuracy and update where necessary.
  • State Compliance of Immunization Records
    • Notify parents of immunization records booster shots that are required, check that all are received. Ensure compliance with the State.
  • Course Selections
    • Coordinate appropriate course selection with counselors and/or administration
  • Attendance
    • Daily: Run reports to ensure that attendance has been taken. Enter all absent students, maintain records of check-ins and check-outs during the day.
    • Maintain accurate attendance records. Collect and enter absence notes daily from teachers and emails.
    • Weekly: Run attendance-tracking reports to identify unexcused absences for 3, 6 and 10-day absences and mail letters to parents accordingly for State compliance
    • Work with the administration to maintain student discipline records
    • Notify Admin of excessive absences
  • Parent Portal
    • Maintain Parent Portal access for parents and students, resetting passwords and setting up accounts. Answer any questions that occur.
  • Cumulative Folders
    • Maintain cumulative folders for all students, filing test scores, final report cards and testing result stickers for approximately 800 students


  • Withdraw students
    • Gather all grades from teachers; collect all books, text, library, and technical equipment from students. Notify all necessary parties.
    • Keep a spreadsheet and send records to the new school
    • Give updates to the Director of Business Services at month end and at each 20-day cycle for financial reimbursement from the State.


  • Report cards
    • Run report cards quarterly. Assist teachers with finalizing grades. Run reports to show completion. Distribute to students and parents via Infinite Campus. At year end check for financial obligations and withhold report cards until paid.
    • Store grades in Infinite Campus
    • Process grade changes and record in Infinite Campus
    • Run Honor roll
    • Authorize and work with counselors on transcripts
  • EC Students
    • Record new EC students and flag in Infinite Campus. Coordinate with the Director of Student Services to get records for these students.
  • Data Manager
    • Keep accurate records and update student information as per State requirements
    • Attend webinars and conferences to stay current with the latest updates to Infinite Campus
    • Assist with the PMR and any other DPI requests
  • EDS Records assist Business Office
    • Maintain a State required spreadsheet for Economically Disadvantaged Students using this report to assist administration with decisions relating to financial assistance
  • Front Office Support
    • Assist with the front desk duties, phone calls, first aid, parents and students
    • Assist with delivering morning announcements
    • Maintain substitute calendar and submit monthly payroll log
    • Order Office Supplies
    • Other duties as assigned

Qualifications, Education, and Experience

  • High school diploma or equivalent required. Associate’s or Bachelor’s degree preferred.
  • Preference for past experience as Registrar/Educational Data Manager.
  • Experience with a Student Information System program is highly preferred.
