A technical school in Western PA seeks a qualified PT Human Resource Assistant.
This position is part-time / Monday - Friday /flexible schedule / 20 - 29 hours per week. We can work with your schedule during the hours of 7:30am - 5:00 pm.
Responsibilities:
- Act as the point person for applicant questions and information flow between the organization and the job candidate.
- Assist with the sourcing, recruiting and selection process. Supports recruitment process with resume screening, interview scheduling and candidate job offers.
- Monitor background checks completion, verify driver license history at hire and annually, and assist in new hire orientation preparation and forms.
- Provide administrative and payroll preparation support to Payroll and HR as needed.
- Assist in scheduled appointments, meetings and conferences with employees to discuss personnel issues.
- Ensure payroll and HR system employee records are complete and are updated regularly.
- Maintain employee documents related to grievances, performance evaluations, pay rate changes, etc. scanned and indexed to employee electronic records chronologically and to paper files as needed.
- Assist with the preparation of Employee Separation Notice and forwards to payroll personnel and or other departments.
- Contributes to Employee Newsletter by writing articles, distributing or gathering information for the publication.
- Maintain up to date knowledge of HR practices and compliance with federal, state, and local employment laws and regulations.
- Perform other duties as assigned.
Requirements: Must maintain a high level of confidentiality. Ability to work independently under general instructions on a wide variety of special projects, completing assignments within deadlines with a high degree of accuracy. Ability to adapt to change and meet deadlines.
QUALIFICATIONS
- Associate degree or two years post high school education in administrative assistant or related field required. Coursework in management and human relations or related fields preferred. Three (3) to five (5) years’ experience working at the executive secretary level required.
- Must be proficient in the English language for both grammar and composition purposes and spelling in order to communicate effectively, to prepare reports, record minutes of meetings, and to compose routine correspondence and other directives.
- Ability to work with and adapt to various personalities and all levels of personnel within the office.
- Proficient secretarial and analytical skills to include: typing (minimum 55 WPM), filing, proofreading and editing correspondence, duplication equipment, and standard computer software programs, including the use of spreadsheets, power point presentations, and electronic mail.
- Must project a highly professional image to contacts both in person and on the phone.
- Must have exceptional organizational skills including the ability to prioritize work.
- Must show initiative, the ability to learn new software applications as applicable and be able to work without supervision.
- Numerical and analytical ability is necessary to prepare statistical reports and other reports that require calculations and compilation of data.
- Position requires considerable use of discretion, tact, diplomacy and judgment.
- Must have the ability to maintain security of student records and confidential personnel information .
- Familiarity with medical and legal terminology helpful but not mandatory.
