We are looking for a highly organized, detail-oriented Office Assistant for Chef/Proprietor Angie Mar's West Village Restaurant, Le B.
The ideal candidate thrives in a fast-paced environment and has ample experience solving problems quickly, efficiently, and empathetically. Must be a pro-active thinker and able to manage deadlines and projects, while wearing many hats within a fast-paced environment. This position is for a candidate who feels comfortable spending time meeting with Chefs, Directors and other leadership staff in our restaurant; discretion and trustworthiness are essential.
Responsibilities
- Ability to coordinate multiple activities with attention to detail
- Ability to work independently with minimal supervision
- Coordinate and implement office services such as purchasing, records, and other administrative activities
- Coordinate management’s calendar
- Schedule and attend meetings and take note
- Tech support and correspondence
- Working closely with restaurant managers, Sous Chefs and other staff as necessary
- Organizing and preparing for off-site events and appearances
- Stocking and sourcing office supplies, cooking ingredients, research materials, and other supplies
- Continuously improving knowledge of ingredients and utensils, as well as where to find them
- Maintain complete knowledge of and comply with all departmental policies/service procedures/standards
- Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended
- Maintain knowledge of basic menu offerings at the restaurant
- Perform responsibilities in accordance with company philosophy, policies and applicable laws
- Maintain a strong knowledge of New York City Department of Health regulations, and operate strictly within these parameters
- Monitor and maintain cleanliness and working condition of departmental equipment, supplies and work areas
- Serve as the communication & logistical point person for Guest Inquiries
- Responsible for corresponding with vendors and contractors via in person, phone, and email in a timely manner
- Job includes other duties and responsibilities assigned by management
Qualifications
- College degree or equivalent combination of education and experience, B.S. or B.A. preferably in Business
- 1 year of experience in administrative assistance (experience with food and hospitality a plus)
- Hardworking, organized self-starter with strong attention to detail, speed and accuracy
- Written communication skills
- Concrete knowledge of all basic computer programs (Google, Microsoft Office Suite, Outlook, etc.)
- Preferred knowledge in POS Systems, Toast, Resy, etc
- Excellent time management with the ability to prioritize and manage tasks; ability to remain calm under pressure and resolving problems using good judgment
- Effective communicator with a variety of personalities, work well in team environment
- Knowledge of accounting principles & concepts and bookkeeping/accounting experience
- Knowledge of food and beverage products
- Discretion in handling confidential information with diplomacy
- Satisfactorily communicate with guests, management and co-workers to their understanding
- Maintain confidentiality of guest information and pertinent company data
- Exert physical effort in transporting 5 to 40 pounds
- Walk up and down full staircases while carrying 5 to 40 pounds
- Fluency in Spanish, Chinese, Japanese or French is a plus
