SUMMARY: The Front Office Coordinator oversees front desk operations, helps with marketing activities, manages training program coordination, and handles administrative responsibilities. Strong communication, organizational, and customer service skills are essential for this role.
RESPONSIBILITIES:
Welcoming and Gatekeeping:
· Greet visitors and team members with a positive demeanor.
· Act as the gatekeeper for the President/CEO, managing access.
Communication and Administrative Tasks:
· Answer business phones, route calls, and assist with training registrations.
· Accept and distribute mail to relevant parties.
· Maintain inventory of office supplies and place orders as needed.
Marketing Support:
· Manage marketing materials, uniforms, and promotional items.
· Assist in ordering food for various company events and initiatives.
· Participate in event coordination for team and customer gatherings.
Reporting and Marketing Communication:
· Prepare materials for monthly marketing meetings, including performance reporting.
· Create and send marketing communications to existing and prospective customers.
· Maintain a Social Media calendar, following post approval procedures.
· Contribute to the management of company and key employee social media pages.
General Administrative Duties:
· Ensure cleanliness and organization of kitchens and breakout rooms.
· Perform additional administrative tasks as assigned by management.
· Maintain calendars and other company communications, including ACES Weekly Happenings.
What You’ll Need
· 2 years of relevant experience is preferred but will train the right people.
