Job Description
Office Coordinator
Join our adult literacy team and help adults and families acquire the reading, writing, math, English language, computer, and workforce skills they need to function effectively as workers and community members.
Reports to: Executive Director
Schedule: 20-25 hrs/week, normally Monday-Thursday, with occasional flexibility to meet the needs of the organization.
Summary: Primary function is to ensure the Literacy Green Bay office runs efficiently,
including office supervision/reception; data entry; book sales; answering phones and assisting guests; maintaining databases and mail lists; coordinating bulk mailings; completing special projects and other support for Executive Director, other staff and Board as requested
Responsibilities:
RECEPTIONIST & CLERICAL:
· Receive and respond to telephone or email inquiries, messages, and requests
· Assist teachers, tutors, students and the public with program information
· Assist with book sales, locating appropriate library materials for tutors
· Take appropriate action on incoming mail; post outgoing mail, maintain postage machine
· Manage the phone and voice mail system as needed
· Maintain paper and electronic files
· Perform mail merges, prepare and arrange for all bulk mailings
· Monitor, order and maintain office supplies, books and program materials
· Order awards, name tags, business cards, print certificates, etc.
· Maintain tidy copier room, break room, storage closets and supply cabinets
· Generate and print office forms, signs, envelopes, labels, etc.
· Handle copier/scanner, computer, telephone and maintenance issues
· Be point of contact for communications with landlord and other building tenants
· Assist with fundraisers, recognition reception and other events
· Prepare and coordination collection of data for Literacy Green Bay annual report
· Maintain donor information in donor database, add new donors
· Prepare/track donor thank-you’s, including monthly list for Board members
· Enter new employees and volunteers into LACES database; update as necessary
· Assist with sections of United Way, ProLiteracy and other annual reports/surveys
· Prepare personnel paperwork for new hires
· Attend and take notes at staff meetings
OTHER:
· Set up for in-person Board meetings
· Assist Board Members with requests
- Maintain historical archives
- Complete a variety of other projects requested by Executive Director
- Assign projects to and provide guidance to office volunteers
QUALIFICATIONS and Experience:
Must have:
- 2-year degree in office administration or 2 year related clerical/office administrative experience
· Experience with Windows, Microsoft Office, Google Suite, data management databases, Excel spreadsheets and bulk mailings
· Customer service skills with friendly, positive attitude
· Able to collaborate well with other staff
· Ability to work with a diverse/multicultural population
· Good written/verbal English communication and keyboarding/proofreading skills
· Ability to multitask and prioritize; reliable and organized; a self-starter who can work with minimal supervision
· Understanding of and ability to maintain confidentiality of payroll and other information
Preferred:
· Experience in adult education or language learning
· Bilingual abilities in Spanish or another language is highly desirable
