What are the responsibilities and job description for the Registrar position at Marquette University High School?
SUMMARY OF THE POSITION:
To serve as the MUHS school database administrator, maintain all academic records, and provide system training and support as needed in accordance with prescribed procedures and practices to make for an efficient operation in achieving MUHS' goals and objectives.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Database administration
- Serve as the primary student information system (SIS) administrator
- Collect and maintain student and institutional data in SIS
- Work with Admissions to import new student records
- Assist counseling office with WI Direct Admit processes
- Maintain student grade information including transcripts, report cards, grade reports, and athletic eligibility
- Troubleshoot issues in SIS
- Records and Reports
- Serve as the student information system administrator
- Prepare and maintain student permanent records
- Verify attendance and graduation dates for students and alumni when requested (Social Security forms, job applications, etc.)
- Gather and provide factual information, maintain records, and interpret data requiring reference to a variety of sources; calculate, prepare and maintain statistical reports including designing formats for tables, charts and graphs
- Regularly provide data reports for the Principal, Board of Directors, Board Committees and other faculty and staff as needed
- Prepare yearly school demographic reports
- Assist the Assistant Principal with senior graduation status analysis
- Prepare documents for graduation including diplomas, list of graduates, and award information
- Produce the official transcripts to be used in the college/university application process
- Maintain alumni permanent records and fulfill transcript requests both in person and electronically
- Prepare Choice reporting through WI DPI
- Support the work of departments within the school with requested information and reports

- Coordinate registration process
- Organize, prepare, and process registration materials (course request materials and course verification forms) and SIS set up for all students
- Prepare Freshman Course Selection materials. Assist the Assistant Principal as needed the evening of the Welcome Night meeting.
- Update scheduling reports for Assistant Principal and department chairs
- Work with Assistant Principal to prepare Master schedule, resolve conflicts in student schedules, and communicate finalized schedules to students
- Schedule and prepare classes for summer school
- Maintain school calendar within the SIS
- Run year end processes and set up SIS for upcoming school year
QUALIFICATIONS:
- Degree in education, data science, or administration
- Strong organizational skills
- Excellent communication abilities
- Attention to detail
- Proficiency with student information systems, spreadsheets, and electronic record-keeping systems.
SUPERVISION RECEIVED:
This position reports to the Academic Assistant Principal.
TERMS OF EMPLOYMENT:
This is a 12-month position. This position may require evening and/or weekend work to
accommodate meeting schedules. It involves the use of computers and office
equipment.
