Summary: The accountant for the grant-funded projects works within the Office of Finance and Accounting and under the lead of the Director of Finance to oversee the accounting of all the projects of the College that are grant funded, especially the project “Caminando Juntos: Accompanying Small-Town and Rural Pastoral Ministers.” The Accountant ensures that all the grant-funded projects are being spent according to budget and works with project directors to ensure all expenses are correctly recorded (according to the Generally Accepted Accounting Principles) and that all financial reports are created and submitted to the different funders on time. The accountant takes special care that project income and expenses are tracked (including accounts payable and receivable), managed, and that all journal entries related to the projects (such as bank and sub-leger reconciliations) are entered on a timely basis in the accounting software so that monthly and quarterly reports can be created and analyzed internally.  


Position responsibilities: 

  • Perform duties related to accounting support for projects
  • Assist the Director of Finance in maintaining and managing the accounting system (software) and finance-related files (print and digital) for the projects
  • Process monthly bank and project reconciliation of expenses and revenue 
  • Process monthly accounts payable and receivable for each project and work with directors on any issues that may arise 
  • Process and review monthly finance reports for overseeing by Director of Finance and do the monthly and annual reconciliation of all finance-related activities of each project with the project directors
  • Keep the program directors informed regarding expenses and incomes and assist the Director of Finance in meeting reporting deadlines
  • Prepare information and finance-related documents needed for project reports, grant requests and reports, and other      communication
  • Regularly engage in personal growth, professional development, theological study, prayer, charity and justice work, and spiritual formation
  • Adhering to safety training and protocols on a daily basis and taking precautionary measure to ensure the safety and well-being of   self, and others 
  • Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to students’ and employee’s names and information, services rendered to students, donors names and gifts, partners, board members’ information, internal and external investigations or results of any investigations, and financial information
  • Adherence to the Code of Conduct and the Faith and Morals Policy of the Archdiocese of San Antonio is mandatory

  • Perform other duties as assigned.

Requirements

Minimum Qualifications: 

Experience

  • Knowledge of all processes of accounting including accounts payable, accounts receivable, general ledger, financial reporting, and auditing.
  • Three years or more of experience performing a variety of complex accounting and grant-related accounting/issues (especially financial), including project tracking. 
  • Non-profit grant management and accounting experience.

Education

  • A bachelor’s degree in Accounting, Business Administration, Finance or related field. 

Minimum Knowledge and Skills: 

  • Effective oral and written communication skills, including proficiency in English and Spanish. 
  • Proficiency in general office practices, procedures and equipment;
  • Demonstrated proficiency and experience with computer and office software such as Word, Excel, Accounting (especially Sage or QuickBooks) and database system, and ability to learn new programs/systems;
  • Able to multi-task and manage interruptions, strong organizational skills and ability to work with minimal supervision; must be able to develop own routine, anticipate needs, and follow projects through to completion;
  • Ability to maintain strict confidentiality;
  • Knowledge and ability to adhere to Generally Accepted Accounting Principles (GAAP) for nonprofits.
  • Computer proficient in Microsoft Office Suite and Adobe Acrobat. Intermediate to advanced skills in Microsoft Excel are required.
  • Ability to learn quickly and a variety of programs/systems;
  • Must be detail oriented, organized, self-motivated, work well independently and cooperatively on a team;
  • Ability to write and format letters for different occasions;
  • Ability to organize and maintain files and office systems.

Travel Requirements: Travel requirements for the position include approximately 5% local and 2% overnight.
