About the role
The Executive Assistant will play a pivotal role in ensuring the smooth and efficient functioning of daily operations within the company. Working closely with the Chief Operating Officer (COO) and the management team, this role provides essential operational, administrative, and executive support. The ideal candidate will assist in coordinating various departments, implementing operational strategies, and enhancing overall organizational efficiency while offering high-level support to senior leadership.
What you'll do
Executive Assistance :
- Provide high-level executive support to the COO and senior executives, including managing calendars, scheduling meetings, and prioritizing appointments.
- Prepare documents, reports, and presentations for senior management, ensuring all materials are ready for meetings and business reviews.
- Manage communication on behalf of the COO, including phone calls, emails, and correspondence.
- Plan and coordinate internal and external meetings, conferences, and events for the COO and senior management.
- Organize logistics for team-building activities, client meetings, and company-wide events.
Operational Support :
Assist the COO and senior leadership in managing daily business operations, ensuring workflow efficiency and timely execution of tasks.Oversee office logistics, including supplies, inventory, and equipment, coordinating with vendors and suppliers as necessary.Support process optimization efforts and troubleshoot operational bottlenecks.Assist in implementing operational strategies to improve overall business efficiency.Project and Administrative Functions :
Assist with project management by tracking timelines, deliverables, and team responsibilities.Facilitate cross-departmental collaboration to ensure smooth project execution and operational goal achievement.Handle sensitive and confidential administrative tasks, including travel arrangements, expense reports, and personal requests for the COO.Organize and prepare agendas for meetings, take minutes, and follow up on action items.Maintain both digital and physical filing systems for operational and executive documentation.Additional Responsibilities :
Collaborate with the management team to identify inefficiencies in operational processes and recommend improvements.Assist in implementing and monitoring the effectiveness of operational strategies aimed at enhancing company-wide efficiency.Support daily operations across all departments.Assist with HR administration, including recruiting and onboarding processes.Coordinate risk management policies and procedures, including securing comprehensive insurance coverage.Ensure compliance with all necessary licenses and filing requirements at local, state, and federal levels.Build and maintain strong relationships with vendors and service providers.Foster collaboration across departments to streamline operations and enhance communication.Work closely with Executive Assistants supporting the CEO and VP of Policy to coordinate schedules, meetings, and initiatives.Perform other duties as assigned to support the organization’s objectives.Qualifications
Bachelor's degree in Business Administration or a related field.Excellent verbal and written communication skills, with the ability to engage and influence stakeholders at all levels.Strong proficiency in Salesforce, Rippling, Google Workspace, Microsoft Teams, and other workflow and communication tools.Strong analytical and problem-solving skills, with a proactive approach to identifying and resolving issues.Ability to build relationships and foster collaboration within diverse teams.Exceptional organizational and multitasking abilities, with a keen attention to detail.Preferred Qualifications :
Prior experience in an executive support or operations role within a fast-paced environment.Experience in process improvement initiatives and operational strategy implementation.The pay range for this role is :
