JOB SUMMARY

Receives, orders, inspects, stores and maintains all products and purchases. Assist in the procurement of all food and beverage products, equipment, supplies, materials and other items needed for the Club. Interacts with vendors and other departments in the Club.

ESSENTIAL JOB FUNCTIONS

  • Receives and inspects all deliveries by count, quality and weigh/scale.
  • Checks goods and assures that the standard quality requirements in purchase specifications are met before accepting delivery.
  • Assures all deliveries match the original purchase order and the invoice reflects accurately by double checking line items and listed price/cost.
  • Issues goods in accordance with requisitions.
  • Stores purchased goods in the rightful location upon delivery and ensures that items are stored properly by the health code standards (e.g. Freezer, cooler or dry storage always off the floor by 6 inches).
  • Inspects the coolers for proper temperature and right labeling.
  • Returns any product (incl. any local returns) in poor condition and informs the Department Head of any shortages due to delivery not having met the standard (with a priority on any protein items in question).
  • Helps keep walk-in, freezer and storeroom areas organized, clean and in proper repair and condition bring any and all repairs needed to the Chef for work request.
  • Codes items with the proper GL’s and keeps hard copies of each check request for all food and beverage, supplies, paper goods, linens, uniforms, chemicals, equipment, etc.
  • Processes and completes purchase requisitions from authorized personnel as part of a daily routine with first priority.
  • Helps expedite the purchase of urgently needed products.
  • Assists Executive Chef with keeping a monthly food & beverage inventory and monitors inventory records accordingly.
  • Works with the Executive Chef to establish and maintain pars for food and supply items.
  • Assists the Executive Chef in the selection and evaluation of suppliers or requested food items needed or equipment for food and beverage.
  • Rotates stock FIFO “first in first out” new product goes to the back and older product moved forward or on top.
  • Labels, dates and rotates all items and properly place all incoming products into proper storage locations.
  • Maintains receiving and storeroom equipment in proper condition; report repairs needed to the Executive Chef or Sous Chef.
  • Inspects storage areas and keeps the back dock clean and organized.
  • Assures that all storage areas are locked according to Club policies.
  • Assists in the selection and evaluation of vendors.
  • Acts as a liaison between vendors and all club departments.
  • Interacts with vendor personnel regarding shortages, price changes and related matters.
  • Works with vendors to solve operating problems.
  • Creates goodwill for the Club through effective supplier relations.
  • Compares suppliers’ product quality, service dependability and costs.
  • Reports any issues and variances to the Executive Chef for review.
  • Helps develop purchasing policies and procedures.
  • Develops purchase specifications and performs “make-or-buy,” quality evaluation and other analyses.
  • Works with club personnel to determine proper quality and purchase quantities.
  • Helps to minimize losses from product or supply pilferage, spoilage or obsolescence.
  • Utilizes procedures that minimize operating costs for purchase and storage of all products.
  • Helps to identify new products, materials and processes which are potentially useful to the club.
  • Helps distribute bids, receive quotations and make purchase order decisions.
  • Uses competitive pricing strategy when purchasing items while upholding the expected quality of those items.
  • Gathers information about market conditions and availability of materials.
  • Maintains current files of vendors, stock lists, catalogs, price sheets, etc.
  • Knows current laws and regulations affecting purchasing tasks.
  • Participates in departmental and Club training meetings.
  • Maintains kitchen MSDS books.
  • Mails packages that have to be delivered in a timely manner.
  • Avoids overnight shipments and rush delivers at all cost, must plan ahead.
  • Arrives before the first delivery.
  • Work very closely with Department Heads.
  • Performs other tasks as assigned.

JOB QUALIFICATIONS

  • Good attitude and highly motivated self-starter.
  • High School diploma or equivalent.
  • Associate’s degree in business and accounting preferred.
  • Two years of experience in the food service business or working as a purchasing agent.
  • Exposure to or experience in purchasing quantity food, food service equipment, furnishings, supplies or services through competitive bidding is desired.
  • Strong analytical, negotiating and product management skills required.
  • Working knowledge of sources of supplies, pricing trends, and grades or quality of materials and products required.

LICENSES AND SPECIAL REQUIREMENTS

  • Food safety certification.

PHYSICAL REQUIREMENTS

  • Must be able to stand for long periods and walk, climb stairs, balance, stoop, kneel, crouch, bend, stretch and twist or reach.
  • Must be able to reach with hands and arms; talk and hear.
  • Must be able to occasionally lift and/or move up to 50 pounds.
  • Must be able to work in a busy, noisy environment.
  • Must be able to frequently lift, bend, climb, stoop and pull.
  • Must be able to continuously stand, sit and walk.
  • Must be able to handle working conditions which may be cold, hot, humid, wet/slippery.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
