Job Summary
Under general supervision, responsible for the creation, maintenance and accuracy of inventory records in order to ensure adequate levels. Procures non-inventory goods and services as contracted by the Purchasing Department.
Responsibilities
Purchasing for the Hospital and Its Affiliates
Consistently obtains the best product at the best price. Always considers contract parameters.Maintains current awareness of law, regulations and new developments as they affect the products andservices acquired. Contacts vendors to order non-inventory items obtained through purchase orders to ensure adequatehospital supplies. Inputs appropriate information into the computer system to ensure accurate hospital anddepartment records. Places weekly orders for standard hospital forms. Calls in orders and following established protocols for each type of order and prioritization. Orders areplaced within established timeframe. Works with Accounts Payable in resolving invoice variances for items by utilizing contracts andcontacting vendors. Generates various reports and cost analyses by selecting appropriate data and menu selections fromthe computer system in order to provide timely and accurate information. Assigns appropriate general ledger account numbers based on established guidelines. Calculatespatient charges for special order items and enters patient charges utilizing the batch entry update for patientswhen appropriate. Performs routine expediting of outstanding purchase orders by contacting vendors and department toensure receipt of supplies. Performs other related duties as needed in order to support the achievement of departmental goalsand objectives. Meets with sales repsentatives, researches products, and selects vendor supply sources. Communicates effectively. Reviews requisitions for correct data, including ordering number, vendor, price and expense class. Always verifies correct prices. Ensures proper level of authorization has been met before ordering. Consistently places orders within established timeframe for routine and stat orders. Uses E-commerce, where appropriate, for placing orders. Confers with sales reps to resolve backorders and returns. Reviews and follows up on backorders as needed/requested. Uses good judgment in decisions regarding purchasing group contracts. Meets the information needs of department managers regarding purchasing issues; is perceived asresponsive and knowledgeable.
Purchasing Customer Service
Prepares usage data, cost analysis and other pertinent information as required. Coordinates with departments, receiving personnel, vendors and accounts payable personnel toresolve problems encountered with prices or delivery of orders. Makes suggestions on ways to improve the system. Understands and practices principles of confidentiality and security with respect to all forms ofinformation as applicable to patients, employees, guests and hospital systems. Responds to inquires in a pleasant, helpful and professional manner. Interacts with coworkers, patients, visitors and medical staff in a business-like, professional andfriendly manner.
Inventory Control
Monitors stock levels by reconciling systemgenerated reports with manual reports in order todetermine appropriate stock levels. Adjusts system levels as needed. Always ensures par levels are maintained. Helps set par levels. Maintains records of bulk order purchases and reports utilization these items to AP monthly. Advises departments on appropriate Product Review policies and procedures. Prepares documents,records minutes, maintainis records, and assists departments with product requests for review. Advises departments on appropriate Product Review policies and procedures. Works with the MIS department regarding the AS400 system. Alerts the MIS department of problemsin the system. Works with receiving department maintaining a file for items received that are not on a purchase orderto provide internal tracking.
Performs Other Duties as Required
Attends mandatory in-services, staff meetings, and actively participates in self-education. Completes all required competency assessments on time. Maintains required job knowledge (e.g. licensure and credentials, continuing education etc.). Performs Other Duties as Required.
Knowledge, Skills & Abilities
Light Work: Frequent lifting and/or carrying of objects weighing up to10 lbs with a maximum lifting of 25 lbs.
A minimum three years experience working in Material Management or related fieldis required. Knowledge and understanding of Purchasing and Inventory procedures normally acquired through previousexperience. Related healthcare experience is preferred. Familiarity with automated inventory systems or ability to operatepersonal computers normally acquired through specialized training or previous experience. Interpersonal communicationskills are required to maintain cooperative working relationships with sales representatives, coworkers and ancillarydepartments.
