DIRECTOR OF EVENTS
The Director of Events will be responsible for driving the member and guest experience from event planning, to handling member/guest requirements during weddings, meetings, private dinners, and special events, to post-event follow-up with guests/members. Key job duties include overseeing the operations of the catering and events department and maximizing guest satisfaction and driving incremental revenue to the property. This role will also involve managing and active coaching of Event Managers, Event Coordinators, and assigned F&B associates. They responsible for ensuring the Events team provides exceptional customer service, while striving for the highest standards to provide members and their family and guests with a memorable experience.
WHAT YOU WILL DO:
- Collaborate across departments to conceptualize and execute unique and engaging Member Events.
- Respond to wedding and special event inquiries, follow up on all leads, and send out complete information regarding the utilization of Moonlight Basin’s facilities and amenities to interested parties and promptly answer any questions.
- Create form letters and emails to send to prospective clients.
- Create full event management proposals to send to clients within twenty-four hours of receiving request.
- Schedule and oversee site visits and tours of Moonlight Basin.
- Identify "upselling" opportunities, provide client proposals and execute the logistical services sold.
- Strategically market to local community and nationally.
- Establish and maintain vendor relationships and communication.
- Act as the on-site point of contact to manage and oversee vendors and communicate with clients during the planning and execution of events at Moonlight Basin.
- Plan and execute member events.
- Coordinate with the F&B team to meet the menu requirements of each event.
- Manage event staff, including recruiting, training, coaching, scheduling, and disciplinary action as needed to create an exceptional team.
- Develop and maintain master calendar for events.
- Responsible for posting weekly event schedule for associates.
- Administrative duties include preparing event budgets, monitoring expenditure, preparing invoices, reconciling accounts, coding and processing invoices.
- Create BEOs, timelines, pull lists, etc. for each event.
- Oversee any special projects or other assigned duties as assigned by the Director of Food & Beverage or General Manager
- Identify challenges, propose solutions and facilitate resolution.
- Contribute to the overall success of the Food & Beverage department.
KEYS TO SUCCESS:
- Minimum of 5 years venue or hospitality experience, specifically banquet/catering, food service and/or event experience.
- Prior experience in a luxury hotel or private club preferred.
- Precise attention to detail.
- Associates degree required. College degree in hospitality, event management, or another related field preferred.
- Ability to work calmly and complete tasks in a fast-paced, sometimes stressful hospitality environment with unpredictable business levels.
- Self-motivated to meet deadlines, manage priorities, communicate challenges, and work with minimal supervision in a fast-paced environment.
- Excellent people and guest recovery skills.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
- Experience with JONAS or other similar hospitality management software required.
- Must comply with Moonlight Basin's grooming and uniform policies.
- Hours worked each week will vary based on business demands, but generally consist of five 10-hour shifts.
- Must be available to work all shifts, overtime, weekends, and holidays.
- This is a full-time, year-round position.
