What are the responsibilities and job description for the College of Art & Design Administrative Assistant (Part-Time) position at Northwest Nazarene University Inc?
Northwest Nazarene University’s Department of Visual Art and the College of Arts & Humanities is seeking applicants for an Administrative Assistant. The assistant will work directly with and for the faculty of the Department of Visual Arts, the Director of the Friesen Galleries, and the Dean of the College of Arts & Humanities.
This position is a non-exempt (hourly), part-time, .5 FTE position that reports to the Department Chair.
Essential Functions
- General department and clerical tasks – Typing, photocopying, maintaining department filing, digital and analog system, maintain Visual Art calendar, answer telephone and email questions, order materials, department supplies; including paper and toner for color laser and photo printers, coordinate with Facilities for repairs and maintenance, mail delivery, manage student lockers
- Track department and College budgets, process university credit card allocations and submissions for professors and dean; prepare purchase orders and invoices, track course fees;
- Friesen Gallery - Permanent Fund endowment and expenses, Exhibition Openings, Permanent Collection Database, Mailing List
- Events -- Assist with planning and coordinate departmental and gallery-related receptions and events; order food; proof and mail postcards; serve and clean-up after events (multiple events per year)
- Prepare and maintain faculty load sheets, including overload and adjunct contracts
- Maintain and update textbook requirements for online textbook system
- Catalog updates and edits – degree requirements, program description, and course descriptions
- Scheduling of meetings, appointments, and other activities; agenda created for weekly department meetings and various college meetings
- Other duties as assigned
Minimum Qualifications
- Strong writing and grammar skills, and the ability to develop correspondence with minimal instruction;
- Strong interpersonal skills and the ability to communicate effectively and positively with students, faculty, and persons from the community;
- Competence in basic software (Word, Excel, Web management system) and equipment operations, with aptitude for learning new systems;
- High motivation and commitment to the University, including the ability to self-start, be calm under pressure, meet deadlines, work with minimal supervision, tolerate ambiguity, be able to multi-task, and relate to a variety of personalities under diverse circumstances;
- Ability to maintain confidential information and files;
- Strong organizational skills, accuracy, and orientation to detail
- Ability to perform all Essential Functions of this position
- Must be physically capable of doing miscellaneous facility related tasks such as hanging artwork, delivering supplies and equipment, and occasionally lift up to 30 pounds
- Ability to sit for extended periods of time and view a computer screen
Preferred Qualifications
- 2 Years of experience in an administrative setting
- Takes initiative and completes projects with minimal supervision
- Excellent communication and writing skills
- Experience with graphic design software, or willingness to learn
- Willing to assist department in social media marketing for recruitment
Compensation
Salary will be determined by the educational background and experience. As this is a part-time position, personnel are not eligible for University benefits.
