NumbersUSA – a national, non-profit immigration-reduction organization with 8 million activists – is seeking an Administrative Assistant to provide support of the organization’s public education and advocacy programs.
Administrative Assistant will serve as primary support person for the organization, providing essential support to the co-CEOs, the Development Team, and policy staff by managing day-to-day administrative tasks and assisting with various projects. One responsibility is to enter donations into the membership database and to process checks.
An ideal candidate will be detail-oriented and have exceptional organizational skills.Flexibility and interest in being part of a team is critical in this position. Excellent discretionary judgment is a requirement as this person has access to confidential information that may not be available to the rest of the staff. Assistant will report directly to the Co-CEOs and work closely with the Development Team, the Comptroller and Leadership Team. Responsibilities will include:
- Opening and processing mail, including outgoing mail;
- Processing donations, including data entry, and check deposits;
- Process acknowledgment letters;
- Support fundraising and grant application processes as needed;
- Assist in planning and coordinating meetings, events, and community outreach efforts;
- Planning for Board meetings (preparing Board Books, making reservations);
- Scheduling meetings as needed;
- Ordering office supplies;
- Responding to requests for educational materials;
- Serving as the principal administrative contact for the Team.
This is a 30-40 hour per week position and requires in-office presence.
Qualifications and Skills:
- Associate’s or Bachelor’s degree (preferred but not required);
- Experience: 1-3 years of experience in administrative support, preferably in a nonprofit setting;
- Strong proficiency in Google Workspace as well as Excel and Powerpoint;
- Experience with Salesforce is a plus;
- Excellent organizational skills;
- Strong written and verbal communication skills;
- Ability to multi-task and work independently.
Compensation and Benefits:
Salary Range: $45,000-$58,000
Benefits include: Health insurance; dental insurance; 403b retirement plan; paid vacation and sick leave; and commuting reimbursement.
