What are the responsibilities and job description for the School Receptionist position at Oak Mountain Academy?
The school receptionist serves as the receptionist for the school division as well as the school dean and serves as the first point of contact for all individuals entering the building. The receptionist is responsible for greeting all visitors in a professional/friendly manner, determining the nature of business for every visitor, contacting the appropriate party and/or taking a message as appropriate while providing organizational and clerical support to the school administrative office staff. Additionally, the receptionist will have knowledge of a school environment, be an organized, proactive and an open communicator that is a solution-oriented individual that carries out the mission and vision of Oak Mountain Academy.
PRINCIPLE RESPONSIBILITIES:
- Answer phone calls and listen to messages
- Greet guests in a professional, courteous, and hospitable manner
- Announce visitors to various faculty/staff as necessary
- Field questions from students/visitors
- Monitor visitor area ensuring all visitors follow proper procedures
- Monitor student arrival and departures in accordance with school policies
- Assist faculty/staff with forms and mailings as needed
- Assist with the security of lobby area
- Track room changes (e.g., if teacher moves class to library for the day)
- Perform a variety of clerical duties as needed
- Evaluate excuse notes and issue tardy slips and early dismissal slips
- Record and file all excuse notes (early dismissal, tardy, absence)
- Compile & email a daily absence list, tardy list, and early dismissal list
- Generate a weekly tardy report through RenWeb/FACTS
- Determine which classes have not taken attendance and contact those teachers
- Retrieve students from class for early dismissals
- Check for missing notes and contact parents
- Monitor tardiness and absences
- Contact parents of students who are absent and have not contacted the school
- Deliver parent messages to students
- Receives money and keeps a daily log in accordance with business office procedures
- Maintain supply of office forms
- Provides culturally sensitive responsive practices while addressing community needs
- Develops positive school/community relations and acts as liaison between the school and community
- Communicates effectively both orally and in writing with parents, students, teachers, and the community
- Attends school/community functions as needed and assist in the planning/hosting of special events
- Maintain working relationships and collaborations with all school administrators
ADDITIONAL RESPONSIBILITIES:
- Prepare the building for the day – unlock the front door, turn on lights, etc.
- Help with morning supervision, which begins at 7:30, and greet the students and parents
- Check on teachers and provide support and communication as needed
- Assist in dress code enforcement
- Coordinate medication schedule with students as needed
- General tidiness of building
- Keep the inside and outside of the lobby tidy
- Build relationships with students, teachers, and parents
- Help build and maintain energy, enthusiasm, and excitement among stakeholders.
- Participate in Fire Drills, Lockdown Drills, and Weather drills
