JOB SUMMARY


The Accounts Payable Clerk will focus on accounts payable and assist the accountant with managing all forms of financial accounts within the company. The position will be responsible for maintaining accurate records, ensuring timely payments, preventing overpayments, and assisting with departmental reports and cost projections.


ESSENTIAL DUTIES, FUNCTIONS, AND RESPONSIBILITIES


  • Review and process incoming bills into an enterprise resource planning (ERP) software system.
  • Process purchase order (PO) related bills after they have been matched to a PO and issues are resolved.
  • Work directly with vendors and managements in cases of disputed or delayed payments.
  • Receive invoices, allocate materials to sales orders, and create packing slips for brokered Bio transactions.
  • Process banking transactions in an ERP.
  • Process Bio customer credit card payments in an ERP and provide a zero-balance invoice.
  • Review, process, and distribute Bio credit memos.
  • Create weekly transfer POs to record the transfer of blood from Food to Bio.
  • Process bills of lading (BOLs) and accompanying bills for three-to-four-week grower payments.
  • Resolve accounts payable, cash, and other vendor issues that arise.
  • Exhibit exemplary attendance and punctuality.
  • Comply with company policies and procedures.
  • Perform other duties as assigned.


EDUCATION & RELATED EXPERIENCE


  • A high school diploma or equivalent GED is required.
  • An associate's degree in accounting or a related field, or an equivalent combination of education and experience is required.
  • A minimum of two years of experience in an Accounts payables clerk role is preferred.
  • A valid driver's license and the ability to be covered under the Company's automobile insurance is required.


KNOWLEDGE, SKILLS, AND ABILITIES


  • Knowledge of principles and processes for providing customer and personal services.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Knowledge of economic and accounting principles and practices, the financial markets, banking and the analysis and reporting of financial data.
  • Proficiency using mathematics to solve problems.
  • Skilled in 10-key and Microsoft Office/ERP software.
  • The ability to verify the accuracy of financial or transactional data.
  • The ability to be relied on and held accountable to complete tasks.
  • The ability to be self-motivated and follow directions.
  • The ability to enter, transcribe, recording, storing, or maintaining information in written or electronic/magnetic form.
  • The ability to communicate complex information to supervisors, co-workers, and subordinates by telephone, in written form e-mail, or in person.
  • The ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.


SUPERVISORY RESPONSIBILITIES AND INTERACTIONS WITH OTHERS


The AP Clerk has no supervisory responsibilities. However, the role will be expected to frequently interact with co-workers, customers, vendors, and the general public.

While performing the duties of this job, the employee is frequently required to sit, talk, hear, and see using close- and/or distance-vision, and use their hands to touch, grasp, or type. The employee may occasionally be required to reach with their hands and arms, walk, and lift or move objects up to 20 pounds. Hand-eye coordination is necessary to operate computers and various pieces of office equipment.


WORKING CONDITIONS


Duties are typically performed in an office environment. The work environment is usually a well-lit environmentally controlled indoor environment with a moderate level of noise. This is a full-time position, and the hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m. Travel is an essential function of the role. Work hours may vary depending on the operational activities and required duties; evening and weekend work may occasionally be required.
